Opening April 5, 2019, where the High Line meets Hudson Yards on Manhattan's west side, The Shed commissions original works of art, across all disciplines, for all audiences. About the Position

The Development Assistant will help with advancing the work of our growing Development team and assisting with a wide range of administrative duties while maintaining integrity, donor trust, confidentiality, and tact at all times. This position works closely with the Chief Development Officer to manage the work of the department. The Assistant must be a collaborative and energetic individual who embraces the ambition and the mission of The Shed and have the ability to multitask while maintaining a strong sense of strategic priorities as the team works together to launch this new cultural institution.

The ideal candidate has research experience and can contribute to our progressive, creative, innovative, and inclusive organization and office environment. Demonstrated experience characterized by sound decision-making, good humor, flexibility, excellent organizational skills, sustained initiative and the ability to handle multiple priorities is crucial.

Key responsibilities include, but are not limited to

  • Provide administrative support for Chief Development Officer
    • Manage extensive Google calendar activity; anticipate and resolve potential scheduling conflicts, ensure CDO is prepared with relevant material and information, utilize sound judgment in managing priorities of requests based on importance and urgency
    • Assist with producing and preparing materials for meetings and presentations
    • Field inquiries and requests from internal and external individuals, including the Board of Directors, Shed executives and senior management, consultants, vendors, and assistants
  • Support Development Team
    • Department liaison and office administration
      • Collaborate with team to build administrative systems and processes that support our work
      • Manage collaborative agendas for meetings with Board Chair, CEO and fundraising consultants
      • Collaborate with other Shed Executive Assistants and provide coverage, as needed
      • Undertake general office management responsibilities including filing, photocopying, scanning, messenger packages and express mail packages
      • Review documents and proofread work for grammar and spelling, accuracy, consistency of terms, and completeness; ensure that document text and graphics adhere to the organization’s guidelines and standards
    • Meetings and project management
      • Maintain meeting agendas and follow up on completion of activities to ensure deadlines are met, such as meeting follow ups, requests for information, projects, etc.
      • Coordinate meeting and conference call logistics, welcome and host guests, manage attendees, book conference room locations and times, provide conference call details, arrange meals and any A/V needs
    • Data hygiene and maintenance
      • Oversee integration of development records into donor database and ensure regular upkeep of prospect and donor information, including data clean-up, address and salutation updates, create new records and other general data entry as necessary
      • Work with The Shed team to champion the use of the database in recording donor contact and relevant data points
    • Support in fundraising initiatives (as time allows)
      • Assist with events planning details, guest list management and response tracking, and providing assistance at events on occasion
      • Assist in the identification and qualification of prospects needed for The Shed’s campaign and ongoing programmatic support
      • Respond to internal research requests in a timely manner, working independently to provide current information on known prospects and existing donors while also developing methods to discover and qualify new prospects
      • Participate in prospecting meetings, including presenting qualified prospects and proposing action plans for each
    • Other duties as required
Qualifications and Qualities
  • One to two years relevant experience in a non-profit cultural institution strongly preferred
  • Strong interpersonal skills
  • Superior organizational skills
  • Strong software skills
  • Proven ability to juggle multiple projects in a fast-paced environment
  • Excellent oral and written communications
  • Experience with Google docs
  • Database experience preferred
Compensation
