Job description

Responsibilities
  • Independently process gifts daily for the Hoover Institution
  • Produce daily and weekly gift reports
  • Interface with University Development Services to ensure gift records are aligned between the Hoover Institution and Office of Development
  • Oversee the donor welcome process for new Hoover Council supporters
  • Provide administrative support for the development events program
  • Manage inventory for development events and donor welcome packets
Core Duties
  • Independently process complex and high-profile gifts
  • Manage and process high volume of biographical data, includinganalyzing and monitoring entries for accuracy and completeness tomaintain data integrity and hygiene.
  • Review all daily gift receipts, acknowledgements and tributeletters that are sent to donors.
  • Coordinate with development officers on large or complexgifts.
  • Utilize multiple gift processing systems for high-profileactivities.
  • Determine gift allocation and reach out to officers forconfirmation.
  • Process credit card transactions and follow up on failedtransactions.
Systems & Process Improvement
  • Develop and maintain expertise in database systems and assistwith new data features/patterns.
  • Analyze database information and identify processimprovements.
  • Recommend new processes and systems for testing.
  • Document SOPs
Compliance & Audit
  • Ensure compliance through systematic internal databaseaudits.
  • Coordinate resolution of multi-area compliance issues.
  • Test and recommend workflow improvements withinparameters.
Staff Development & Leadership
  • Train junior staff on systems and processes
  • Provide business support to development officers andfinance.
  • Propose new processes, improvements, and systems to improve datacollection and inconsistencies.
External Relations & Communication
  • Provide customer and business support to development officers andfinance.
  • Coordinate with development officers on complex gifts and/or dataprojects
Minimum Education and Experience

Bachelor’s and 3 years of relevant experience OR equivalentcombination

Knowledge, Skills and Abilities
  • Technical: Intermediate gift systems expertise;troubleshoots multi-system issues; working knowledge of IRS regulations.Advanced ability in MS Office Suite and applications
  • Communication: Advanced correspondence anddocumentation; confident presentations; trusted partner to developmentofficers
  • Problem-Solving: Investigates complex problemsand recommends solutions; independent and sound judgment ontransactions. Conduct research and ability to interpretinformation.
  • Management: Small project leadership; emergingleader; peer mentoring and training
  • Specialized: Intermediate financial skills; riskidentification and control implementation; solid development operationsfoundation
