JOB SUMMARY
This position is responsible for supporting daily banking operations within Deposit Operations, including account maintenance, balancing, fee refund processing, exception handling, wire processing, official check support, customer and branch assistance, procedure adherence, and quality review.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Wire Processing and Funds Management (35%)
- Processes and supports domestic and foreign wire activity while ensuring high levels or accuracy and customer service.
- Reviews and updates wire contracts, initiate correspondence back to customer, maintains wire contract database.
- Maintains wire documentation, templates, PINs, contracts, and contingency procedures.
Deposit Operations Processing & Account Maintenance (25%)
- Performs and monitors customer and account maintenance tasks, including account transfers, account research, certificate of deposit maintenance, account updates, statement changes, rate changes, and account-related requests.
- Processes stop payments, update dormancy status, fee waivers and refunds, analysis account maintenance, deceased customer notifications, reclamations, bond redemptions, IRA support tasks, large dollar reviews, and year-end processing.
- Processes non-post items and exception items such as large checks and chargebacks.
- Reviews requests for accuracy, documentation, approvals, customer authorization, and adherence to procedures before processing
- Performs additional banking operations processing tasks as assigned to support departmental needs, deadlines, and service expectations.
Exception Resolution, Balancing & Quality Control (20%)
- Supports sweep account setup and maintenance.
- Researches and resolves non-posts, stop payments, official check exceptions, chargebacks, Positive Pay items, and other operational exceptions.
- Completes or supports general ledger balancing, application balancing, Tellie balancing, foreign item balancing, and other assigned reconciliations.
- Performs file maintenance reviews, cashier's check reviews, AVS/SSA verifications, deposit verifications, and related quality control activities.
- Researches differences, document findings, and escalates unresolved issues.
Customer and Internal Support (10%)
- Provides professional and timely support to branches, customers, management, treasury, and internal departments.
- Responds to questions regarding deposit products, services, digital banking, and operational processes.
- Maintains high service standards while meeting departmental deadlines.
- Follows all Bank policies, procedures, information security requirements, and regulatory guidelines.
- Maintains confidentiality of customer and Bank information.
- Identifies and escalates fraud risks, processing concerns, control weaknesses, and policy exceptions.
- Maintains documentation sufficient to support audits, reviews, and compliance examinations.
Performs other duties as required and assigned.
KNOWLEDGE, SKILLS AND ABILITIES
- Working knowledge and understanding of basic accounting or bookkeeping principles.
- Knowledge and understanding of commonly used concepts, practices, and procedures within more than one area of deposit operations.
- Basic skills with MS Outlook, Word and Excel.
- Ability to use a PC and the Internet.
- Detail-oriented with strong organizational skills.
- Ability to interpret procedures and apply sound judgment.
- Ability to maintain predictable and reliable attendance.
- Ability to complete required training by assigned due date.
EDUCATION*
- Minimum of a High School Diploma or equivalent required.
EXPERIENCE*
- Minimum of 1 year of retail banking or bank operations experience, including customer service, required.
- Experience with bookkeeping, balancing, account maintenance or related financial services experience preferred.
