JOB TITLE/ASSIGNMENT

Position: Adult Education Data & Assessment Coordinator

  • Must possess or be willing to obtain CASAS Implementation / Test Administrator Training and official GED Proctor Certification within 30 days of hire.

Job Goal

To execute the standardized testing protocols, federal National Reporting System (NRS) data tracking, and student recruitment and retention efforts required under the Adult Education grant so that the effectiveness, efficiency, and compliance of the program are maintained.

RESPONSIBILITIES/DUTIES

Performance Responsibilities

  • Serve as the certified Test Administrator for standardized adult education assessments (CASAS and official GED testing).
  • Manage testing logistics, including scheduling, secure test-environment setup, and proctoring in strict compliance with State Assessment Policy and GED testing regulations.
  • Score assessments, record results, and distribute diagnostics to instructional staff for student placement and educational functioning level (EFL) determination.
  • Execute daily data entry of student demographics, attendance, instructional hours, and assessment scores into the state-mandated student information system (e.g., TE) to ensure National Reporting System (NRS) compliance.
  • Monitor student data profiles to identify when students reach mandatory post-testing windows (e.g., 40, 70, or 100 hours of instruction).
  • Conduct regular internal audits of digital and physical student files to ensure all mandatory grant paperwork, intake forms, and identity verifications are complete and compliant.
  • Lead local program recruitment efforts through community outreach, distributing grant-approved marketing materials, and conducting intake information sessions.
  • Monitor weekly attendance data to flag at-risk students and conduct proactive outreach (phone calls, emails, texts) to students who have stopped attending to re-engage them.
  • Coordinate with local community resources to help students resolve structural barriers (e.g., transportation, childcare) hindering their program retention.
  • Assist in documenting student referrals to and from WIOA core partners, such as American Job Centers / One-Stops.
  • Conduct mandatory follow-up surveys with exited students at 2 quarters and 4 quarters post-program to track employment and postsecondary outcomes as required by federal performance indicators.
  • Process new students including data entry, obtaining student records, and class assignment.
  • Maintain student records, including student information folders and cumulative folders.
  • Process transfers and withdrawals.
  • Organize, file, and maintain office records using established guidelines and procedures.
  • Complete duplication requests.
  • Provide typing and data entry services.
  • Order and maintain specialized grant and testing materials as needed.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Meet and deal effectively with the general public, staff members, parents, administrators, and other contact persons using tact and good judgment.
  • Follow attendance, punctuality, and other qualities of an appropriate work ethic.
  • Maintain confidentiality regarding school, student, and workplace matters.
  • Participate successfully in training programs offered to increase skill and proficiency.
  • Keep supervisor informed of potential problems or unusual events.
  • Use effective, positive interpersonal communication skills.
  • Respond to inquiries and concerns in a timely manner.
  • Exhibit interpersonal skills to work as an effective team member.
  • Demonstrate support for the adult education program, school district, and its goals and priorities.
  • Prepare or assist in the preparation of all required grant and federal reports and maintain all appropriate records.
  • Ability to learn multiple skill competencies outside of usual job responsibilities as assigned.
  • Perform such tasks as deemed by the administrator or immediate supervisor to be necessary and beneficial to program operations.
  • Assumes the responsibility to report for evacuation shelter in the event of an emergency and any other duties assigned during an emergency evacuation .

PHYSICAL REQUIREMENTS

Light Work: Exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force as frequently as needed to move objects. Ability to actively perform work in classroom, testing center, office, and other business and community settings. Ability to move freely and perform duties in numerous locations throughout the day (typically involving frequent standing, walking, sitting, bending, and lifting). Exposure to noise and activity of an educational setting. Exposure to weather conditions. Ability to travel outside the district for a variety of meetings, testing administration, and conferences.

TERMS OF EMPLOYMENT

Calendar Months: 12 Month

Salary Schedule: Non-Instructional Non-Bargaining Pay Grade: 74

Salary and Benefits as determined and approved annually by Hendry County School Board.

EVALUATION

Performance of this job will be evaluated annually in accordance with School Board Policies for evaluation of administrative personnel.

ADDITIONAL CONDITIONS

Conditions for continued employment if applicable: This is a 100% grant-funded position. Continued employment is explicitly contingent upon the ongoing availability and renewal of grant funding for this program.
