Job summary

NorthStar Medical Radioisotopes seeks a Customer Operations Coordinator in Beloit, WI to support order fulfillment, data entry, and coordination with internal teams to ensure accurate and on-time delivery.

You will maintain customer records, process orders in ERP, monitor statuses, and generate routine reports with a focus on accuracy and customer satisfaction in a fast-paced radiopharmaceutical environment.

Qualifications

  • High school diploma or equivalent required; associate degree in Business, Customer Service, Supply Chain, Logistics, or a related discipline preferred.
  • One or more years of experience in order entry, data entry, customer service, administrative support, logistics, or related business support role preferred.
  • Equivalent combination of education and experience may be considered; strong attention to detail, accuracy, organization, and multitasking in a fast-paced environment.

Responsibilities

  • Support inquiries related to orders, shipments, deliveries, invoices, documentation, and general account administration, escalating as needed.
  • Enter, process, verify, and maintain customer orders, purchase orders, delivery requirements, and customer account information in the ERP system.
  • Monitor order status and provide routine updates regarding delivery schedules, delays, and documentation needs for customers and internal stakeholders.
  • Coordinate with Logistics, Operations, Commercial, Accounting, and Quality teams to support timely order fulfillment and accurate documentation.
  • Generate routine customer reports and assist with account setup and onboarding activities.

Position

The Customer Operations Coordinator supports customer order fulfillment through accurate data entry, order processing, documentation, and coordination with internal teams. This hourly, non-exempt role is responsible for entering and maintaining customer orders and related account information in company systems, monitoring order status, supporting follow-up on delivery and documentation needs, and helping ensure customer commitments are executed accurately and on time. While this position may communicate with customers regarding routine order, shipment, or documentation matters, it is not intended to serve as the primary customer relationship owner. The Customer Operations Coordinator works closely with Commercial, Logistics, Accounting, Operations, and Quality teams to support efficient execution, timely communication, and a positive customer experience.

Responsibilities
  • Support customer inquiries related to orders, shipments, deliveries, invoices, documentation, and general account administration, escalating relationship or commercial matters to the appropriate primary contact.
  • Accurately enter, process, verify, and maintain customer orders, purchase orders, delivery requirements, and customer account information within the company ERP system.
  • Monitor order status and assist with routine updates regarding delivery schedules, delays, shipment information, and documentation needs for customers and internal stakeholders.
  • Coordinate with Logistics, Operations, Commercial, Accounting, and Quality teams to support timely order fulfillment, accurate documentation, and resolution of routine order-related issues.
  • Document, track, and communicate routine customer concerns, service requests, quality notifications, and product delivery issues in accordance with company procedures, escalating as appropriate.
  • Support contract and purchase order administration by ensuring required documentation is received, processed, and maintained accurately.
  • Maintain accurate customer records, order files, correspondence, and related documentation in accordance with company record retention requirements.
  • Generate routine customer reports, order status reports, and other administrative reports as requested.
  • Assist with customer account setup, customer onboarding documentation, and ongoing account maintenance activities as directed.
  • Support continuous improvement initiatives by identifying recurring customer service issues and recommending process improvements.
  • Develop working knowledge of company products, customer agreements, and business processes to effectively respond to customer inquiries.

Early Development

After 3 months, you will:

  • Develop a working knowledge of NorthStar products, customer agreements, order fulfillment processes, and internal business systems.
  • Accurately enter and maintain customer orders, purchase orders, delivery requirements, and customer account information within the ERP system with minimal supervision.
  • Build effective working relationships with Commercial, Logistics, Operations, Accounting, and Quality team members to support successful order execution.
  • Respond confidently to routine customer inquiries regarding orders, shipments, documentation, and account administration while knowing when to elevate issues.
  • Demonstrate strong attention to detail by consistently maintaining accurate customer records and supporting documentation.

After 6 months, you will:

  • Independently manage customer order processing activities, ensuring orders are entered accurately, fulfilled on time, and supported by complete documentation.
  • Serve as a trusted resource for routine customer inquiries and provide timely status updates regarding orders, deliveries, and documentation requirements.
  • Proactively identify and resolve routine order-related issues through coordination with internal stakeholders across multiple departments.
  • Generate and maintain accurate customer, order, and administrative reports that support business operations and customer commitments.
  • Contribute process improvement ideas by identifying recurring customer service or operational challenges and recommending solutions that improve efficiency and customer satisfaction.
Qualifications

One (1) or more years of experience in order entry, data entry, customer service, administrative support, logistics, or a related business support role preferred. An equivalent combination of education and experience may be considered. Strong attention to detail, accuracy, organization, follow-through, and the ability to manage multiple priorities in a fast-paced environment are required.

Experience supporting order entry, customer administration, or documentation processes in a regulated manufacturing, healthcare, pharmaceutical, biotechnology, or industrial environment preferred. Experience utilizing ERP systems, customer relationship management (CRM) software, and business systems strongly preferred.

Working Conditions

This role may involve working in a controlled cleanroom environment, general office setting, or specific manufacturing areas. Conditions may include:

  • Exposure to varying temperatures, both indoors (heated/air-conditioned spaces) and outdoors
  • Noise levels range from quiet to loud, depending on the work area
  • Specific vision abilities, including near vision, visual acuity, and color discrimination

Personal Protective Equipment (PPE) is required and may include:

  • Respirators, gloves, safety glasses, and full protective clothing
  • Compliance with cleanroom gowning protocols (e.g., removal of all jewelry, including piercings)
  • Prohibition of cosmetics, fragrances (perfume, aftershave), and nail products, including polish, artificial nails, or extensions

As a radiopharmaceutical manufacturing site, radiation may be present in the laboratory and production areas. Employees in this role may be required to:

  • Follow strict radiation safety procedures
  • Participate in dosimetry monitoring and bioassay testing as part of the company protocol
  • Inform leadership of any health conditions that may affect product integrity, by cleanroom standards
