Job summary

Hei Hotels Inc. in Braselton, GA—Chateau Elan Winery & Resort—is seeking an administrative professional to support the Executive Chef and Culinary team.

You will handle files, scheduling, and communications to keep operations running smoothly. You will coordinate meetings, take minutes, manage correspondence, and assist in organizing monthly dept meetings, while ensuring correct food labels and VIP reservations.

Qualifications

• Administrative support experience in a luxury hospitality setting.
• Strong organizational and multi-tasking abilities.
• Ability to maintain confidentiality and handle VIP requests.

Responsibilities

• Assist the Executive Chef and culinary team with admin tasks.
• Maintain files, correspondence, and records of the department.
• Coordinate meeting set-ups and take minutes; distribute notes.
• Answer phones, relay messages, and direct inquiries appropriately.
• Coordinate and distribute incoming/outgoing correspondence.
• Organize trace system for memos and reports; ensure timely distribution.
• Handle reservations for VIP clients and maintain daily costs.

Overview

Assist the Executive Chef & Culinary Team in the administrative functions required for effective management of the hotel.

• Maintains all files, correspondence, and records in the department. Typing and filing.
• Coordinates meeting set-ups and performs minute taking, transcribing and distribution of the following: Executive Committee, Staff Meeting, and Miscellaneous Meetings.Performs special requests of the Executive Chef.
• Performs telephone duties which require answering telephones, messages, forwarding calls to appropriate person, assisting caller in resolving questions.
• Coordinates and delegates distribution of incoming and outgoing correspondence to in-house, HEI Hotels and Resorts and other areas.
• Assists in organizing trace system to ensure all correspondence memos reports are completed, distributed properly and on appropriate time schedule.
• Handles individual reservations for VIP clients.
• Comply with attendance rules and be available to work on a regular basis.
• Exuding the HEI Brand Culture - All in Practicing, representing the FB division's direction, service goal.
• BEO meeting - attendance required.
• Ensure correct food labels.
• Maintain Culinary department team communication board with up to date pertinent department, property, enterprise information.
• Maintain \ File monthly. Monotoring Invoices, ordering and daily food costs.
• Assist in scheuling monthly depatent meetings and attend all resort meetings.
• Perform any other job-related duties as assigned.
