DHR Health is seeking a Credentialing Specialist II to support the Medical Staff Office. Under the direction of the Lead Credentialing Specialist, you will coordinate credentialing activities, manage applications, and assist with appointments and reappointments.

This role requires strong secretarial skills, proficiency with Cactus software, and the ability to handle confidential information with discretion. A high level of organization and attention to detail is essential.

Qualifications

  • HS Diploma or GED required.
  • Secretarial training and typing speed 50 wpm.
  • Experience in confidential, executive/medical staff secretarial work.
  • Proficiency with medical terminology is desired.
  • Ability to prepare minutes and reports with minimal supervision.

Responsibilities

  • Perform Credentialing activities in accordance with established policies and procedures.
  • Assist with appointment and reappointment process of the Medical Staff and APP Staff.
  • Process applications and verify information with outside agencies.
  • Verify credential information by contacting primary sources.
  • Maintain confidentiality of all credentialing files.
  • Maintain records for licensure,DEA, DPS, and malpractice insurance.
  • Identify inconsistencies in credential files and coordinate follow-ups.
  • Prepare agendas, take minutes, and maintain minutes in filing systems.
  • Cover the Lead Credentialing Specialist as required.

POSITION SUMMARY:

Under the direction of theLead Credentialing Specialist,assistsin the coordination of all Medical Staff requirements. Provides secretarial support of the Medical Staff’s credentialing including the processing of new applications, requests for temporary privileges, and biennial reappointments. Performs general office and secretarial work, including typing,takingand transcribing dictation, preparation of confidential and special reports.

POSITION EDUCATION/ QUALIFICATIONS:
  • HS Diploma or GEDrequired.

POSITION RESPONSIBILITIES:
  • Perform Credentialing activitiesin accordance withestablished policies and procedures.
  • Assistwith appointment and reappointment process of the Medical Staff and APPStaff.
  • Processing Applications

  • Maintain confidential credentials files of all members of the Medical Staff andAdvanced Practice Providers.
  • Maintainon-going Tickler system for reappointment of medical staff and APPstaff.
  • Process requests forapplications:maintain records of applications provided.
  • Review new applications for completeness,prepares, and sends for references.Recordstatus of responses.
  • Send follow-uprequests when needed.
  • Maintain current records of proctoring of physicians and assuresappropriate reviewby committeechairmenand Credentials Committee. Explains proctoring information tonew staffmembers.
  • Assure that the reappointment process isinitiatedfor each member of the Medical Staff and theAdvanced Practice Providersin a timely manner.Follow upon missing information and obtainappropriate approvals.
  • Prepare agendas, materials,placescalls to confirm attendance, attends meetings and takes minutes at selected meetings. Accurately and neatly types in prescribed manner. Proofreads to ensure accuracy.
  • Accurately record statisticsin computeras directed.
  • Accurately and consistently file information in credentials folders.
  • Obtain signatures on credentials forms and credentials files as needed.
  • Maintain ER drop-in call schedule, as needed.
  • Accurately and neatlyfileminutes in eachappropriate threering binder as needed.
  • Maintain confidentiality of all records and issues handledinthe Medical Staff Office.
  • Fax monthly meeting calendar as requested by physicians.
  • Maintain all tickler systems and rosters pertinent to the Medical Staff Office.
  • Assistin general mailings to the Medical Staff.
  • Maintainaccuratemaster mailing list for all current Medical Staff and APP Staff and committees.
  • Order supplies as needed on a weekly basis.
  • Assistin scheduling/coordinating meeting rooms for the Medical Staff.
  • Postbulletin boards.
  • Transcribe dictation from chief of staff, committeechairmen, administrators, and others asrequired.
  • Photocopyaccuratelya multitude of requests by theLead Credentialing Specialist.
  • Cover theLead Credentialing Specialistposition asrequired.
  • Must be well organized for prioritization of responsibilities.
  • Must be able to handle stressrelativeto rush projects and meeting deadlines. Must be able to work under pressure in a highly productive office.
  • Must be able to cope with interruptions, varying personalities, and some irregular hours.

B. Working Conditions: The individual spends over 95% of his/her time in an air-conditioned environment with varying exposures to noise. There is protection from weather conditions but not necessarily from temperature changes. The position does have low exposure to malodorous, infectious body fluids from patients and some minimal exposure to noxious smells from cleansing agents.
