Job summary

CAE USA is seeking an experienced ISD Administrative Specialist to provide comprehensive support to the ISD Manager and department. You will coordinate TSCOs with ISD/C&DM, perform quality control, manage courseware data, and prepare meeting materials for ICCB/TSCWG meetings.

The role requires strong MS Office skills, ability to present to management, meticulous data handling, and flexibility for overtime. DoD clearance eligibility and US citizenship are required for this government-contract

Qualifications

  • High School diploma or equivalent; 2-year degree in administrative field preferred.
  • 5-7 years administrative/secretarial experience, with 3-5 years at an advanced executive level
  • Proficient in Microsoft Excel, PowerPoint, Access, and Word.
  • Able to deliver oral presentations to management/customers
  • Excellent written skills
  • Able to work independently with minimal supervision
  • Willing to work overtime and varied shifts
  • Understanding of military protocols and customs is essential
  • Eligible for DoD Personal Security Clearance
  • U.S. citizens only due to government contract requirements

Responsibilities

  • Coordinates with ISD and Configuration and Data Management (C&DM) to prepare and track TSCOs.
  • Performs quality control of TSCO courseware prior to release
  • Maintains and updates TSSC databases to track courseware projects
  • Prepares monthly agendas, PowerPoint presentations, and extracts data for ICCB/TSCWG meetings
  • Coordinates and attends monthly ICCB/TSCWG meetings
  • Coordinates office operations and procedures (information management, filing, supplies)
  • Composes and prepares meeting minutes, correspondence and reports
  • Collects, records, verifies, and analyzes data from multiple sources
  • Conducts periodic audits of baseline courseware on Learning Management Systems
  • Coordinates with ISD staff and TMS to schedule SME reviews
  • Maintains and updates SharePoint lists and document libraries
  • Assists ISD team to proofread/edit courseware and related documents
  • Performs all duties with minimal supervision to meet cost/schedule/quality standards
  • Other duties as assigned

Summary

Perform advanced administrative duties requiring a good working knowledge of CAE's operations and a detailed knowledge of the ISD Department. Provides overall support to the ISD Manager and department.

Essential Duties and Responsibilities

  • Coordinates with ISD and Configuration and Data Management (C&DM) to prepare and track Training System Change Orders (TSCOs).
  • Performs quality control of TSCO courseware prior to release through established processes.
  • Maintains and updates TSSC databases to track courseware projects including FCIFs, critiques, Quality Change Proposal Requests (QACPs), and other project related data.
  • Prepares monthly agendas, PowerPoint presentations, and extracts data for ICCB/ TSCWG and other meetings as needed.
  • Coordinates and attends monthly ICCB/TSCWG meetings.
  • Coordinates office operations and procedures such as information management, filing systems, supplies, and other administrative services.
  • Composes and prepares meeting minutes, correspondence, reports, and other complex documents.
  • Collects, records, compiles, verifies, tracks and analyzes data and information from multiple sources.
  • Conducts periodic audits of baseline courseware on Learning Management Systems.
  • Coordinates with ISD staff and TMS to schedule Subject Matter Expert (SME) reviews of courseware projects.
  • Maintains and updates SharePoint lists and document libraries to assist in project management.
  • Assists ISD team to proofread and edit material for courseware, ISD documents, and related technical and administrative documents as necessary.
  • Accurately and efficiently performs all duties with minimal supervision to meet standards for cost, schedule, and quality.
  • Other duties as assigned
Qualifications and Education Requirements

Security Responsibilities

Must complywith all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need-to-know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company provided resources.

  • Incumbent must be eligible for DoD Personal Security Clearance.

Physical Demands

  • Must be able to walk and/or climb stairs and ladder into a simulator or airplane cockpit.
  • Must be able to detect odors or hear noises, bangs, etc., or other sounds to detect problems or flaws in the functioning of simulators and its surrounding environment.
