Job summary

Hilltop Community Resources is seeking an Administrative Assistant for The Cottages to help coordinate day-to-day operations, support residents, and streamline communication between residents and staff.

You will plan activities, assist with onboarding, manage newsletters and notices, and maintain key documents, while providing front desk coverage and supporting Senior Life Options in a cooperative, inclusive environment.

Qualifications

  • High School Diploma or equivalent is required and 3 years of related experience.
  • Strong communication and organizational skills are essential.
  • Experience coordinating activities and communicating with residents is preferred.

  • Meet new residents to welcome them and explain community amenities.

This position is responsible for providing administrative and resident support services for The Cottages. The role focuses on coordinating day-to-day operations, promoting resident satisfaction, and facilitating communication between residents and staff. Responsibilities include planning, scheduling, and attending activities, assisting with new resident onboarding, managing communications and documents, and supporting a positive and welcoming environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Coordinate, schedule, and attend (as needed) resident activities and events, including tracking RSVPs and preparing necessary materials.
  • Meet with new residents to welcome them and ensure they are acquainted with the community, amenities, and resources.
  • Deliver signed birthday cards and balloons to residents on their birthdays.
  • Create and distribute a monthly newsletter featuring activities, announcements, and resident highlights.
  • Type and distribute notices, flyers, and other communication pieces, as needed.
  • Maintain and update key community documents, including new move-in information and resident rosters.
  • Submit and follow up on work orders for resident requests and community maintenance needs.
  • Attend and take minutes at resident and staff meetings, distributing them afterward as needed.
  • Assist with miscellaneous community projects and initiatives.
  • Provide occasional front desk coverage for Senior Life Options and greet visitors and residents in a professional and friendly manner.
  • Provide occasional support for Senior Life Options activities.
  • Offer administrative support to staff at The Cottages, including help with mailings, filing, supply orders, and general organization.
  • Support planning and execution of holiday and special events in partnership with other departments.

EDUCATION & EXPERIENCE
  • High School Diploma or equivalent and 3 years of related experience is required.
CERTIFICATES, LICENSES & REGISTRATIONS
  • Colorado Identification Card
  • Public Notary (must be obtained within 30 days of hire)
  • De‑Escalation Training (preferred)

  • The starting wage range for this role is $17.35 to $18.21 per hour.
