Job summary

The Coordinator manages key direct mail, digital fundraising, crowdfunding, stewardship, and donor engagement processes; supports annual fundraising campaigns and special initiatives; and assists with alumni and donor events. As a central operational partner to Wake Forest Fund leadership and campus colleagues, this position helps ensure that fundraising activities are accurate, timely, coordinated, and aligned with the University's annual giving priorities. \* This position is not eligible for sponsorship of non-immigrant or immigrant visa status through Wake Forest University. All eligible applicants are encouraged to apply. \*Applications for this position will be accepted through 11:59 PM EST, September 14, 2026.**Job Description****Essential Functions:*** Provides comprehensive administrative and operational support for the Wake Forest Fund team, coordinating recurring workflows, reports, acknowledgment lists, donor welcome materials, Giving Society welcome packets, inventory, and supplies.* Serves as the primary administrator for the ThankView platform, coordinating the creation, scheduling, distribution, and tracking of recurring stewardship and solicitation communications to Wake Forest Fund donors.* Trains and supervises the Wake Forest Fund student employee, providing work direction, support, and feedback.* Uses the Advancement database to create, run, and validate queries that identify targeted donor audiences and prepare data files, reports, and mailing materials for direct mail and digital communications supporting the Wake Forest Fund, professional schools, Parents Fund, Graduate School, and Z. Smith Reynolds Library.* Collaborates with Wake Forest Fund leadership and colleagues in the professional schools to update messaging, videos, and campaign content, ensuring that communications remain timely, relevant, and engaging.* Coordinates project-based fundraising campaigns and special initiatives in support of University Development priorities.* Partners with Wake Forest Fund leadership and campus stakeholders to develop and maintain Giving Day content and fundraising pages.* Builds, launches, and manages crowdfunding campaigns that align with the University's annual giving strategy.* Assists with marketing and fulfillment activities for the annual Brick Campaign, including coordinating the installation process with campus and external partners.* Coordinates with the Donor Experience team to produce and distribute stewardship packages and generate biannual pledge reminders for donors with outstanding annual commitments.* Supports alumni and donor engagement events, including Homecoming, President's Weekend, Alumni Council, Parents' Council meetings, and other Wake Forest Fund initiatives.* Provides occasional evening and weekend support as needed.* Manages Wake Forest Fund departmental budgets by processing expenses, maintaining documentation, reconciling expenditures, and preparing financial reports.* Partners with the University Advancement Finance team to research and resolve budget questions or discrepancies, prepare journal entries, and process expense reimbursements in accordance with University policies and procedures.* Performs other related duties as assigned.**Required Education, Knowledge, Skills, Abilities:*** Bachelor’s degree and one year of related experience, or an equivalent combination of education and experience.* Proficiency with Microsoft Office and Google Workspace applications, and the ability to learn and use other systems and technology required for the position.* Experience working with databases and managing data with a high degree of accuracy and attention to detail.* Excellent written and verbal communication skills, strong interpersonal skills, and the ability to build effective working relationships across departments.* Excellent organizational and project management skills, with the ability to manage multiple priorities and consistently meet deadlines.* Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.* Knowledge of budget management and basic accounting principles.* Strong analytical and problem-solving skills with the ability to research and resolve operational issues independently.* Demonstrated professionalism, accountability, and pride in producing high-quality work.* Commitment to the mission and values of University Advancement, including fostering an inclusive culture and advancing equity through all aspects of the work.* Ability to work occasional evenings and weekends as required.**Preferred Education, Knowledge, Skills, Abilities:*** Previous experience working in higher education or a nonprofit environment.* Previous experience in annual giving, direct fundraising, or direct sales.* Understanding of the donor cycle.* Knowledge of Wake Forest University and its alumni, parents, and fans.**Accountabilities:*** Responsible for own work.* May supervise a student employee.**Physical Requirements and Environmental Conditions:**Sedentary work primarily involving sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned.
