Under general supervision, the coordinator orders, expedites, and tracks inventory parts, materials, and supplies to support CTA's operational mission of providing safe and reliable transportation services. They assist in analyzing usage, quality, and forecasting demand for inventory materials and services, and prepare and maintain supply chain operations documentation.

Qualifications

PRIMARY RESPONSIBILITIES

  • Review and coordinate resolutions for over shipments, under shipments, and miss picks reported from stock rooms, storerooms, and warehouses. Track errors and escalate significant issues to management.
  • Coordinate cycle count requests and review results to resolve inventory variances.
  • Review and process requested contract price changes with third-party vendors.
  • Remediate daily pricing variances on purchase orders with vendors.
  • Verify shipping invoices and credits, forwarding accepted documents for processing and resolving rejected items.
  • Respond to field inquiries regarding open orders, managing related requests.
  • Monitor daily tank levels for all keep-fill materials.
  • Perform related duties as assigned.

MANAGEMENT RESPONSIBILITIES

This position reports to a manager and does not have direct reports.

CHALLENGES

  • Expediting parts and equipment to maximize vehicle availability and meet service demands.

EDUCATION/EXPERIENCE REQUIREMENTS

  • Bachelor’s degree or equivalent combination of education and experience.
  • Experience in contract administration, purchasing, warehousing, or financial analysis is preferred.

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting and operating office machinery.
  • Moving within warehouse, stockrooms, and terminals.
  • Exempt employees must reside within the CTA Service Area at or within 6 months of employment.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of supply chain, inventory management, RF Scan Gun technology preferred.
  • Strong organizational, analytical, and communication skills.
  • Ability to work effectively in a team environment.

WORKING CONDITIONS

  • Office environment, with exposure to warehouse and terminal conditions.

  • Standard office equipment, personal computer, and related software.
