Job summary

Powerback is seeking an Office Coordinator to support the rehab team across multiple settings, ensuring licenses are current and documentation is complete. You will assist in removing barriers to patient care, provide clinical education, and maintain department operations, including supplies and equipment management.

You will also track progress on staff training, coordinate scheduling with the Director of Rehab and nursing, and help with billing and chart audits.

Qualifications

  • High school diploma or equivalent is required.
  • Nursing Assistant certification is preferred (unless state requires otherwise).

Responsibilities

  • Maintains licenses for therapists and assistants and ensures posting.
  • Assists staff in removing barriers to treatment and provides clinical education.
  • Performs department maintenance including cleaning mats/equipment and inventory management.
  • Keeps therapists current on mandatory in-services and PPDs.
  • Tracks physician orders and signatures; monitors annual screens and reports changes.
  • Completes audits of charts and mails/ships initial evaluations and certifications.
  • Onboards new staff and coordinates scheduling with rehab leadership.
  • Monitors productivity, efficiency, and supports billing processes.
  • Coordinates patient scheduling with nursing and supports client-related and non-client-related tasks within regulatory and ethical guidelines.

Education

Responsibilities
  • Ensures all therapist and assistant licenses are current and posted.
  • Assists therapy staff in identifying and removing barriers to treatment and providing clinical education to meet the needs of the patient.
  • Completes all department maintenance including cleaning of all mats and equipment, monitoring temperature of hydrocollator units, ensuring any mechanical checks or calibrations are completed according to schedule, emptying laundry, stocking supplies and clean laundry, ordering supplies under the direction of the Director of Rehab.
  • Ensures therapists are current for all mandatory and/or required in-services.
  • Tracks and ensures all rehab staff are current for PPDs.
  • Tracks physician orders and signatures.
  • Tracks annual screens and notifies therapists.
  • Review QIR monthly for changes and report to Director of Rehab.
  • Completes technical audits of charts ensuring all documentation is present. Mails and tracks return of initial evaluations and certifications.
  • Under the direction of the Director of Rehab orients all new staff to the center and department.
  • Tracks due date of all merit reviews, distributes and collects feedback for performance reviews as directed by the Director of Rehab.
  • Coordinates scheduling of all per diem/casual staff under the direction of the Director of Rehab.
  • Tracks productivity and efficiency.
  • Submits billing.
  • Under the direction of therapists coordinates patient scheduling with nursing.
  • Responsibilities may include providing "Client related" and "Non-Client related" services to patients as directed by Therapists and Assistants within the parameters of:
    1. 1. State practice laws;
    2. 2. Local, state, and federal laws and regulations;
    3. 3. Reimbursement rules and payor policies;
    4. 4. Professional standards of practice and codes of ethics.
  • Performs other related duties as required.
Qualifications
  1. The Rehab Office Coordinator must possess a minimum of high school diploma or equivalent.
  2. Certification as a Nursing Assistant is also preferred (unless required by state).
Posted Salary Range

USD $16.00 - USD $18.65 /Hr.
