Variety Care Inc. in Oklahoma City is seeking a Coordinator, Patient Access to lead digital and telephonic scheduling, registration and referral coordination.

You will manage telemedicine workflows, MyChart, Artera, and EPIC PAS tasks, supporting care teams and patients with timely communication. The role requires at least two years in a high-volume call center, proficiency with EPIC and MyChart, bilingual Spanish/English, and a track record of improving patient access services.

Qualifications

  • Two years’ experience in a high-volume call center or as a Patient Access Specialist.
  • Expertise with PAS workflows including referrals, ER/ER workflow?
  • Bilingual Spanish/English required or preferred.

Responsibilities

  • Assist patients with telemedicine services and digital communication tools (MyChart, Artera).
  • Process all texting, electronic and telephonic workflows to ensure timely communications.
  • Coordinate telemedicine appointments with patients, clinicians, and providers.
  • Manage day-to-day telemedicine scheduling and ensure daily digital health workflows are completed.
  • Liaise between care teams and patients to support coordination of care and patient service.
  • Handle outside referrals and behavioral health appointments; address caller needs and ensure satisfaction.
  • Follow HIPAA guidelines and maintain accurate documentation in EMR systems.
  • Support department goals and complete leadership training.
  • Aim to improve patient experience and access while meeting performance targets.

Responsible for variety of tasks included in digital care such as: Internal referral scheduling, Digital E-visit appointments, My Chart and patient texting tools, to name a few. Expert in EPIC PAS, Referral, and registration applications. Proven history of call center/telephone expertise. Supports or receives internal referrals from different Variety Care programs.Primary Duties and Responsibilities:Assists patients with telemedicine services and Digital communication tools such as My Chart and Artera.Completes all texting, electronic and telephonic workflows to ensure patients are receiving timely and accurate communication.Responsible for telemedicine coordination with patients, clinical teams and providers. Manages the day-to-day appointments for telemedicine. Ensures digital health workflows are completed daily, acts as a liaison between Care teams and patients to support coordination of care and patient service.Manages the appointments for outside organizations and/or behavioral health referrals/appointments. Ensures caller needs are addressed and provides information needed to ensure overall satisfaction with experience.Follows EMR “best practice” documentation standards on all telephone encounters and Referrals and updates information as necessary.Meets and/or exceeds Patient Access performance measures, expectations, and goals.Completes Leadership training.Supports goals within the department assigned.Obtains accurate and required information/documentation from patient at time of call.Troubleshoots day to day work related issues and provides feedback to Supervisor.Follows HIPAA guidelines and OCHS Privacy policy and procedure.Assures that office equipment is in good working order. Notifies appropriate staff members if problems arise.Able to handle patient/specialty complaints without seeking manager assistance.Supports Variety Care’s accreditation as a Patient Centered Medical Home and our commitment to provide care to all Variety patients that is Safe, Effective, Patient Centered, Timely, Efficient, and Equitable. Provide leadership and work with all staff to achieve the goals of the “Triple Aim” of healthcare reform—to improve the experience of care, improve health outcomes, and decrease healthcare costs.Follows proper procedures to assure pending referrals are completed.Performs Other duties as assigned.Essential Functions:Must be able to lift 25 pounds.Able to sit for long periods of time.Requirements, Special Skills or Knowledge:Experts in digital and telephonic scheduling, Patient Service Representative registration and referral coordination.Complete Variety Care leadership training.Experience in and understanding of duties of Patient Service Representative.Proficient understanding of insurance and Medicaid requirements.Two years’ experience in leading role within high volume call center or experience as a Patient Access Specialist.Experience taking initiative and communicating with other Variety Care departments and clinics with minimal supervision.Experience with key PAS function and cross trained in additional department function such as referrals, MR and/or digital health (E-visit, Atera, My Chart).Expert in EPIC and completion function of other department workflows independently and with minimal supervision.Relevant training and/or Patient Service Representative trainer certification in all Patient Service Representative functions.Bilingual (Spanish/English).Preferred Requirements, Special Skills, or Knowledge:Knowledge of the medical environment.Understands medical terminology.
