Job summary

Voyant Beauty in Ridgefield, NJ seeks an organized MRO & PM Coordinator to manage preventive maintenance programs and MRO inventory, ensuring equipment reliability in a fast-paced manufacturing setting.

You will create and manage PM schedules, work orders, and inventory controls; coordinate purchasing, monitor KPIs, and generate reports while maintaining audit-ready records and regulatory compliance.

Qualifications

• 2–5 years of experience in maintenance planning or MRO inventory management.
• Experience using CMMS platforms such as SAP PM, Maximo, Fiix, or eMaint.
• Strong organizational and problem‑solving skills.
• Proficient in Microsoft Excel (pivot tables, VLOOKUP).
• Experience in GMP or FDA-regulated environments.

A Brief Overview

We are seeking an organized, detail-oriented MRO & PM Coordinator to support our maintenance and operations teams by managing preventive maintenance programs, maintaining accurate MRO inventory, and ensuring equipment reliability in a fast-paced manufacturing environment. This role is critical to minimizing downtime, optimizing maintenance effectiveness, and supporting operational excellence.

What you will do

• Maintain, coordinate, and optimize preventive maintenance (PM) schedules to ensure equipment reliability and regulatory compliance.
• Create, prioritize, assign, and close work orders within the CMMS.
• Monitor PM completion rates and follow up on overdue maintenance activities.
• Maintain accurate equipment histories, asset records, and maintenance documentation.
• Support maintenance planning and scheduling activities to maximize workforce efficiency and equipment uptime.
• Manage MRO storeroom inventory, including spare parts, tools, and maintenance supplies.
• Establish and maintain appropriate inventory min/max levels for critical spare parts.
• Perform cycle counts and inventory audits to ensure inventory accuracy.
• Coordinate purchasing activities, process purchase requisitions, and monitor material availability.
• Collaborate with vendors and suppliers to ensure timely delivery of maintenance materials and services.
• Track maintenance KPIs, including PM compliance, work order completion, equipment downtime, and inventory performance.
• Generate reports and analyze maintenance data to identify trends and improvement opportunities.
• Ensure maintenance records and inventory documentation are accurate and audit-ready.
• Support compliance with company policies, safety standards, and applicable regulatory requirements.

Education Qualifications

• Associate degree in Industrial Maintenance, Engineering Technology, Supply Chain Management, or a related discipline. (Preferred)
• SMRP certification or other maintenance reliability certifications. (Preferred)

Experience Qualifications

• 2-5 years of experience in maintenance planning, manufacturing operations, MRO inventory management, or a related field.
• Experience utilizing CMMS platforms such as SAP PM, Maximo, Fiix, eMaint, or equivalent systems.
• Strong organizational, communication, and problem-solving skills.
• Working knowledge of mechanical and electrical equipment components.
• Intermediate proficiency with Microsoft Excel, including pivot tables, VLOOKUPs, and data analysis. (Required)
• Experience working in a GMP, FDA-regulated, or other highly regulated manufacturing environment. (Preferred)

Skills and Abilities

• Ability to work in manufacturing and warehouse environments.
• Occasional lifting of materials up to 40 pounds.
• Ability to stand, walk, bend, and climb stairs as required.
• Ability to wear required personal protective equipment (PPE).
