Responsibilities

Summary of Duties and Responsibilities

Under the direction of the Practice Administrator, the Immunization Coordinator serves as the subject-matter expert for immunization operations within the clinic. This role is responsible for immunization inventory management, regulatory compliance, accurate documentation, and reporting while maintaining Medical Assistant clinical competency. The Immunization Coordinator supports efficient clinic flow and safe, high-quality patient care.

Primary Duties and Responsibilities
  • Serves as the clinic resource for immunization workflows, standards, and compliance.
  • Ability to be flexible and adaptable to the clinic and patient needs, serving as a Medical Assistant Sr as needed.
  • Manages immunization inventory, including ordering, receiving, storage, monitoring, and reconciliation in coordination with OSDH requirements.
  • Maintains accurate immunization documentation in OSIIS and the EMR, ensuring data integrity and compliance.
  • Prepares and submits required immunization reports and documentation to appropriate agencies.
  • Administers immunizations under provider direction, including VIS review and patient education.
  • Monitors vaccine storage conditions, including temperature logs, and escalates variances appropriately.
  • Supports clinic readiness for immunization services through supply management and workflow coordination.
  • Communicates effectively with patients, providers, and team members using culturally sensitive, patient-centered practices.
  • Adheres to HIPAA, OSHA, infection control, and Variety Care policies and procedures.
  • Assists with medical emergencies as directed by the provider.

Qualifications
  • High School Diploma or GED.
  • Medical Assistant Certification or one (1) or more years of equivalent experience.
  • Experience across more than one service line and the ability to independently manage assigned clinical workflows with minimal supervision.
  • Proficient in Medical Assistant core competencies.
  • Must complete and pass CPR course within 90 days of employment.
  • Ability to travel 15% or more within state between clinics.
  • Proficient computer skills, including data entry and typing.
  • Knowledge of instrumentation used in lab point of care testing, as directed, within 90 days.
  • Ability to maintain confidentiality of information private in accordance with HIPAA and Variety Care policy.
  • Ability to effectively communicate with the patient population.
  • Ability to work in a multi-faceted, fast-paced work environment.
Preferred Requirements, Special Skills or Knowledge
  • Medical Assistant Certificate; demonstrated advanced competency in immunization workflows, documentation and inventory management may be considered in lieu of certification or licensure.
  • Bilingual (English/Spanish) Speak, write and comprehend.
