Responsibilities

  • Assists in departmental budgeting and reconciliation.
  • Coordinates all stages of gift processing, including gift agreement routing, gift processing and recording, fund and scholarship records creation, stewardship and engagement plan creation, and gift acknowledgment and receipting.
  • Updates constituent information in Raiser’s Edge NXT and keeps detailed records of donations and fund balances.
  • Assists Advancement leadership team in maintaining records and contact reports in Raiser’s Edge NXT.
  • Serves as the first point of contact for constituents reaching out to University Advancement.
  • Assists the events and engagement teams in scheduling and organizing meetings, travel, conferences, catering and departmental events.
  • Answers phones, reads and responds to advancement email, forwards messages and confirms appointments.
  • Runs and distributes a variety of reports, including gift reports.

JOB TITLE SUMMARY

Job Title: Coordinator, Advancement Operations

The advancement operations coordinator serves as a foundational operational partner for the advancement division, supporting a variety of operational needs including financial reconciliation, gift administration, alumni and donor relations, and more. Beyond core operational workflows, this role actively collaborates on cross-functional initiatives, coordinating logistics and project support for strategic engagement, events, fundraising campaigns, and donor stewardship while ensuring timely reporting to stakeholders.

Job Responsibilities and Execution
  • Assists in departmental budgeting and reconciliation
  • Coordinates all stages of gift processing, including gift agreement routing, gift processing and recording, fund and scholarship records creation, stewardship and engagement plan creation, and gift acknowledgment and receipting
  • Updates constituent information in Raiser’s Edge NXT and keeps detailed records of donations and fund balances
  • Assists Advancement leadership team in maintaining records and contact reports in Raiser’s Edge NXT
  • Serves as the first point of contact for constituents reaching out to University Advancement
  • Assists the events and engagement teams in scheduling and organizing meetings, travel, conferences, catering and departmental events
  • Answers phones, reads and responds to advancement email, forwards messages and confirms appointments
  • Runs and distributes a variety of reports, including gift reports
  • Processes payroll deductions and recurring gifts, including oversight of annual acknowledgement letter mailing
  • Coordinates logistics related to the annual giving and memorial gift programs, in collaboration with development colleagues
  • Service Excellence
  • Acts as a liaison with other departments and outside agencies
  • Handles confidential and nonrecurring information and explains policies when necessary
  • Supports the mission of the University and serves as an ambassador of the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Partners with development, stewardship, and engagement teams to coordinate logistical details, schedules, and workflows for signature events, donor engagement initiatives, centralized stewardship projects, and broader campaign activities

  • Works independently and within a team on special nonrecurring and ongoing projects
  • Supports tracking donor communications, including phone calls, thank you letters, pledge reminders, and donor impact report distribution in RENXT
  • Tracks colleague participation in Raiser’s Edge NXT, Give Campus, ResearchPoint and other applicable database and software training paths
  • Job may require other duties as assigned.
