Job summary

Lindenwood University Advancement seeks a detail-oriented Coordinator, Advancement Operations to support budgeting, gift processing, donor relations, and reporting.

You will collaborate across teams to manage databases, run donor analytics, and help execute donor engagement programs while ensuring accurate records and timely communications.

Qualifications

  • Bachelor’s degree required.
  • Minimum of one year of related work experience.
  • Experience in university or nonprofit environment preferred.

Responsibilities

  • Assist in budgeting and reconciliation.
  • Coordinate gift processing, recording, funding records creation, and acknowledgment.
  • Update constituent information in Raiser’s Edge NXT and maintain donation records.
  • Assist Advancement leadership in maintaining contact reports in RENXT.
  • Serve as first point of contact for constituents.
  • Assist events team with scheduling, travel, conferences, and catering.
  • Answer phones and manage advancement emails and appointments.
  • Generate and distribute gift reports and funding analyses.
  • Process payroll deductions and recurring gifts; oversee acknowledgments.
  • Coordinate logistics for annual giving and memorial gift programs.

Job Summary

The advancement operations coordinator serves as a foundational operational partner for the advancement division, supporting a variety of operational needs including financial reconciliation,gift administration, alumni and donor relations, and more. Beyondcore operational workflows, this role actively collaborates oncross-functional initiatives, coordinating logistics and projectsupport for strategic engagement, events, fundraising campaigns,and donor stewardship while ensuring timely reporting tostakeholders.

Job Responsibilities and Execution
  • Assists in departmental budgeting and reconciliation
  • Coordinates all stages of gift processing, including giftagreement routing, gift processing and recording, fund andscholarship records creation, stewardship and engagement plancreation, and gift acknowledgment and receipting
  • Updates constituent information in Raiser’s Edge NXT and keepsdetailed records of donations and fund balances
  • Assists Advancement leadership team in maintaining records andcontact reports in Raiser’s Edge NXT
  • Serves as the first point of contact for constituents reachingout to University Advancement
  • Assists the events and engagement teams in scheduling andorganizing meetings, travel, conferences, catering and departmentalevents
  • Answers phones, reads and responds to advancement email,forwards messages and confirms appointments
  • Runs and distributes a variety of reports, including giftreports
  • Processes payroll deductions and recurring gifts, includingoversight of annual acknowledgement letter mailing
  • Coordinates logistics related to the annual giving and memorialgift programs, in collaboration with development colleagues
Service Excellence
  • Acts as a liaison with other departments and outsideagencies
  • Handles confidential and nonrecurring information and explainspolicies when necessary
  • Supports the mission of the University and serves as an ambassadorof the Q2 culture of service excellence
  • Models, supports, and holds others accountable to the University’s values
  • Partners with development, stewardship, and engagement teams tocoordinate logistical details, schedules, and workflows forsignature events, donor engagement initiatives, centralizedstewardship projects, and broader campaign activities
Communication, Teamwork and Collaboration
  • Works independently and within a team on special nonrecurringand ongoing projects
  • Supports tracking donor communications, including phone calls,thank you letters, pledge reminders, and donor impact reportdistribution in RENXT
  • Tracks colleague participation in Raiser’s Edge NXT, GiveCampus, ResearchPoint and other applicable database and softwaretraining paths

Required Qualifications

– An equivalent combination ofeducation, training and experience will be considered. Additionalrequirements may be designated by position.

  • Bachelor’s degree
  • Minimum of one year of related work experience, preferably in auniversity or non-profit organization—internship experience mayalso be considered
