Job summary

JE Dunn Construction is seeking a Contract Billings Coordinator to assist in preparing trade partners’ pay applications and supporting project teams. The role focuses on accurate payment delivery, handling inquiries, and maintaining strong internal and external client relationships.

The position emphasizes attention to detail, organizational skills, and effective communication. This on-site role involves standard office duties within a construction environment and offers opportunities for growth

Qualifications

• 2+ years administrative support and/or accounts payable experience (Preferred).
• Associate’s degree preferred or equivalent experience will be considered.
• Experience in construction or project-based environments is a plus.

Responsibilities

• Monitors trade partner compliance codes and communicates paperwork/payment inquiries related to liens and affidavits.
• Selects and mails trade partner checks for owner-paid projects.
• Tracks trade partner and supplier lien waivers and affidavits; prepares vouchers for self-perform jobs.
• Meets client commitments and identifies service opportunities.
• Ensures documentation is tailored to the intended reader and purpose.
• Reassesses priorities to allocate time and resources efficiently.
• Adapts to change, welcomes new ideas, and takes on additional responsibilities.

Role Summary

The Contract Billings Coordinator will help prepare the trade partners’ pay applications for processing. This position will support project teams to ensure accurate delivery of payment, handle general sub payment inquiries and maintain positive relationships with internal and external clients.

Key Role Responsibilities - Core

• Monitors trade partner compliance codes. Communicates with trade partners on inquiries for required paperwork, payment status, etc. as it relates to liens and affidavits.
• Selects and mails trade partner checks for all assigned projects when paid by the owner.
• Tracks trade partner and supplier lien waivers and affidavits. Prepares vouchers for self perform jobs.
• Meets client commitments; recognizes and acts upon service opportunities.
• Ensures that documentation is tailored to expected readers / users.
• Regularly reassesses priorities and competing demands and adjusts allocation of time and resources to increase efficiency and effectiveness.
• Adapts to change, is open to new ideas, takes on new responsibilities, handles pressure and adjusts plans to meet changing needs.
