Job summary

Alston Construction is seeking a detail-oriented administrative professional to manage contract and project administration tasks in our Texas office. The role includes handling subcontracts, change orders, document control, and insurance compliance to support project teams.

You will work closely with subcontractors and internal staff to maintain accurate files, coordinate insurance proofs, and ensure timely processing of all contractual documents. Equal opportunity employer.

Qualifications

  • High School Diploma and minimum 2 years of related administrative experience with a construction general contractor.
  • Experience with contracts and projects administration and document control.
  • Equivalent education and experience considered.

Responsibilities

  • Prepare, compile exhibits and execute subcontracts and change orders; ensure licensing and insurance where required.
  • Process subcontracts, change orders and purchase orders within two business days; maintain electronic project files.
  • File executed contracts and ensure insurance certificates and documents are organized.
  • Enter and post subcontracts and change orders in CMiC; monitor licensing/insurance compliance.
  • Track delinquent documents and coordinate with subcontractors through completion.
  • Coordinate proofs of liability insurance with owners and manage myCOI data transfers to CMiC/Textura.
  • Assist in compiling PCI/OCOs and maintain subcontractor contact lists for projects and O&M manuals.
  • Prepare O&M manuals and provide point-of-contact support for subcontractors.
  • Assist Superintendents with site trailer utilities setup and manage project archives database.

Job Summary: Responsible for ensuring exceptional contract and project administration services and support.

Essential Duties and Responsibilities will include:

The CA/PA will be primarily involved with performing the following duties and responsibilities:

  • Prepare, compile required exhibits, and Docusign subcontracts and subcontractor change orders. Ensure subcontractor information in SPERS is complete and required licensing has been approved prior to sending out subcontracts. Evaluate and rate subcontractors’ insurance per the SPERS process and in coordination with Risk Management.
  • Process subcontracts, change orders and purchase orders within two business days of receipt.
    Set up and maintain electronic project files.
  • File executed contracts and change orders (electronic), accurate insurance certificates, and related documentation.
  • Ensure all subcontracts and change orders are entered and posted in CMiC correctly. The CA/PA is responsible for any holds placed on contracts due to licensing or insurance non-compliance.
  • Track outstanding contracts and change orders and notify appropriate individual(s) of delinquent documents and track documents through the office and back out to the subcontractor once fully executed.
  • Coordinate requests from owners for proof of liability insurance.
  • Monitor the insurance certificates in myCOI (insurance management program), ensure compliance status is achieved as quickly as possible. Once compliant enter the insurance information in CMiC and ensure the information transfers to Textura.
  • Assist in compiling and distributing PCIs/OCOs for proper review and signatures.
  • Update and maintain contact list in CMiC, including the creation of the subcontractor contact list for each project. These lists will also be incorporated into the Operations and Maintenance (O&M) Manual at the close of the project.
  • Prepare O&M manuals.
  • Provide point-of-contact support for subcontractors.
  • Assist Superintendents with set up of jobsite trailer utilities.
  • Manage maintenance of database for project archives, including all field documents.


This position will also require performance of the following duties:

  • Provide Alston Construction-related administrative support to the VP/GM and/or SVP/RM, project team and/or office, as requested. This includes, but is not limited to, handling incoming and outgoing mail and couriers, incoming phone calls on the main office line, office visitors, office supplies inventory, maintenance of office equipment, travel arrangements, etc.
  • Other duties as assigned.

Education, Experience, and Licensing/Certifications:

  • High School Diploma and a minimum of 2 years of related administrative experience with a construction general contractor, including specific experience with contracts and projects administration. An equivalent combination of education and experience will be considered.
