Responsibilities

  • Reconcile, configure and enter orders; address and resolve unacceptable clauses with sales, distributor, and/or customer purchase orders or terms and conditions.
  • Review order header file and purchase order for pricing and correct multiplier levels.
  • Review customer technical specifications with team to ensure hardware and software requirements are scheduled appropriately.
  • Reconcile and enter all software, hardware, QA & tagging requirements into ERP system, order tracking, document tracking with the configurator, ERP system, order entry and processing system.
  • Draft purchase requisitions for major buy-out items such as motors, tanks, valves; identify and pass specification details to buyer and/or sub-vendors.
  • Identify all comments and changes required to drawings; initiate changes through FOCN process and document tracking.

Position Summary

ITT Goulds Pumps is looking for a Contract Administrator to join their team in Seneca Falls, NY. The ideal candidate will have previous customer service and/or contract administration experience. The Contract Administrator will enter, administer, and manage contracts with technical specifications in order to meet customer requirements. This includes reviewing customer pump specifications, project plan management, order reconciliation, and change‑order and document management. The Contract Administrator will provide support to the sales, customer service, and finance team, and to vendors and customers and other internal customers to support the business.

Essential Responsibilities
  • Reconcile, configure and enter orders: Address and resolve unacceptable clauses with sales, distributor, and/or customer purchase orders or terms and conditions.
  • Review order header file and purchase order for pricing and correct multiplier levels.
  • Review customer technical specifications with team to ensure all hardware and software requirements are scheduled appropriately.
  • Reconcile and enter all software, hardware, QA & tagging requirements into ERP system, order tracking, document tracking with the configurator, ERP system, order entry and processing system.
  • Draft purchase requisitions for major buy‑out items such as motors, tanks, valves, etc.; identify and pass specification details to buyer and/or sub‑vendors.
Administer Orders/Projects
  • Identify all comments and changes required to drawings as noted by customer; initiate changes through FOCN process and document tracking, noting changes and their effect on schedules, hardware, etc. within the FOCN.
  • Thoroughly review and sign acknowledgement copy of the customer PO if required.
  • Receive, coordinate and resolve all software and hardware related questions generated by customers and interdepartmental personnel.
Assist Other Departments
  • Finance department to resolve collection issues and clarify terms of purchase.
  • Customer service reps in expediting shipment of outside purchases and informing inspectors & expeditors regarding job status.
  • Meet as required with commercial engineering to clarify applicable hardware and software requirements.
  • Shipping or assembly floor to resolve manufacturing and shipping problems.
  • Perform miscellaneous functions as required.
Position Requirements
  • 2‑4 years college degree with 1+ years of experience preferred; high‑school diploma with equivalent experience required.
  • Strong written and verbal communication skills required.
  • ERP and MS Office experience required.
  • Detail‑oriented and organized with a concern for quality.
  • Excellent customer service skills and a team player.
  • Basic product knowledge preferred.
  • General understanding of T/C s, sales terms, freight terms, and payment terms.
  • Ability to work in a fast‑paced environment.

Equal Pay Act Range

Annual salary range is $55,200 to $82,200 plus benefits and incentive plans.
