Job summary

Transact Commercial Interiors is seeking a PM/Coordinator to manage modular wall and millwork projects from scope through to closeout. You will coordinate internal teams, installers, and vendors, ensuring schedule adherence and on-time delivery for commercial interiors projects.

The role requires strong communication, planning, and familiarity with building codes. A Bachelor’s degree and 5+ years in a related PM role are preferred, with a focus on customer satisfaction and accurate documentation.

Qualifications

  • 5+ years in deadline-driven, customer-experience based PM/Coordinator role.
  • Prior commercial furniture experience is desired.
  • Knowledge of contract furniture lines, pricing and discounts.

Responsibilities

  • Plan, coordinate, and oversee all project tasks, dates, interfaces, quality, and budget.
  • Determine manpower, supplies, equipment, and installation service fees.
  • Review installation plans for accuracy and product application.
  • Coordinate with Purchasing and Vendors for orders and delivery schedules.
  • Document communications and attend client meetings (pre-sale, construction, follow-up).
  • Provide single point of contact for client and third-party firms; manage communications.

Position Summary:

Work with the Architectural Interiors Division coordinating Modular wall and millwork projects to ensure that objectives of the project are accomplished within the prescribed time frame and funding parameters. Maintains a positive attitude and a willingness to take on additional responsibilities for other work team members. Strives to achieve company’s mission.

  • Creates written scope for all projects.
  • Works with internal installers and subs to ensure seamless installations.
  • Tracks production and shipping progress of orders to ensure that deadlines are met.
  • Maintains frequent contact with client, providing information on order status, shipping information, and installation schedule. (Including on site.)
  • Coordinates installation for client and develops project schedules as needed.
  • Participates in status meetings with account teams and client when needed.
  • Has accountability for punch list being completed to client’s satisfaction with timely and responsive solutions.
Essential Duties and Responsibilities:

  • Plan, coordinate, and oversee all tasks, critical dates, client and third party interface and relations, performance quality, customer satisfaction and budget for each project. Develop work plan, schedule and logistics based on overall project parameters, project schedule, scope, and customers goals, needs and expectations.
  • Determine required manpower allocation and utilization, supplies, trucks and special equipment. Establish installation services fees.
  • Review construction/furniture installation plans and specifications for accuracy, completeness, and correct product application.
  • Strategize with Purchasing and Vendor Specialist for order placement and delivery schedule. Manage accurate and detailed record keeping including: direct ship receiving documentation, installation sign-offs, punch list and change orders requests.
  • Document customer communications.
  • Attend customer meetings including pre-sale, construction and follow up meetings.
  • Provide point of contact for and coordinates with client and all third party firms (Architectural and Design firms), contractor, cabling vendor, building manager, electrician and other trades, client's facility and IT groups, movers, etc. Provide timely, formal written communications throughout project to client, contractors/vendors, and project team. Provide technical preinstallation information to customer.
  • Visit project site to determine readiness for commencement of field labor and conditions of area.
  • Review project with Foreman prior to the installation.
  • Point of contact for transportation carriers when product direct ships to the customer.
  • Monitor site installation including performance of work installation administration and timeliness of task completion.
  • Strategize with Sales Completion Team regarding project close out to including invoicing and punch lists. Attend project walkthrough and reviews punch list/change order for completeness and ensures resolution. Manage all final project closeout requirements including client sign-offs and punch list resolution.

Preferred Knowledge, Skills, and/or Abilities:
  • Strong product and technical knowledge including applicable building codes, correct product application, custom applications, installation estimating, electricity and cabling, etc.
  • Basic knowledge of product specification
  • Basic knowledge of third-party practices as it relates to and affects installation conditions
  • Ability to analyze, plan, schedule, and implement cost effective project installation
  • Strong knowledge of all aspects of contract furniture management including: account management, project management, order preparation, installation, relocation, and contract furniture administration
  • Working knowledge of building construction, interior design, moves and relocations, trucking, furniture manufacturing and shipping, and building management
  • In depth knowledge of furniture installation drawings
  • Strong organizational and administrative skills
  • Good verbal and written communication skills to interact effectively with a wide range of people
  • Proficient pc skills with Microsoft Outlook, Excel, Word, Project

Qualifications:

Education/Experience:

Bachelor's degree from four-year College or university in business or marketing; or equivalent combination of education and experience. 5+ years demonstrated success in a deadline driven, customer-experience based business model requiring strong project management skills.

Prior commercial furniture experience desired. Knowledge of contract furniture lines as well as pricing and discounting.

External candidates: 5+ experience in a customer-facing PM or Coordinator role and project management experience required. Minimumof 5 years office furniture or design experience.

Internal candidates: typically 2+ years successful performance with Transacts, leadingto a strong understanding of Transacts business model and knowledge of Client Service department operations.

Computer Skills:

Highly proficient with Microsoft Office Suite, including Word, Excel and PowerPoint. Software proficiency

  • ability to become proficient in others as needed.
