Pay Scale: Hourly Rate of $30.00 - $40.00
Actual pay will be determined based on several factors. These may include education, work experience and in some instances, certifications. We strive for market alignment and internal equity with our colleagues’ pay.
Position Summary:
Reporting to the Director of Quality & Compliance, the Compliance Assistant will be charged with a variety of tasks designed to ensure compliance with all applicable State and Federal regulations. The main focus of this position is auditing records, data entry, organization, and correction.
Essential Functions:
- Responsible for ensuring compliance with OTP, Substance Use facilities and Mental Health facilities federal and state mandates including SAMHSA, CARF, DEA, DMHAS, DCF, DSS, ASAM 1115 Waiver, and all other regulatory standards and regulations. Responsible for preparation and successful completion of regulatory audits and surveys and execution of corrective action plans (as applicable).
- Ensures agency corporate compliance program conforms to applicable accreditation standards, as well as any State and Federal regulations. Assists director in identifying, addressing, and resolving identified compliance issues.
- Assists in compliance audits, monitors activities and prepares compliance reports to ensure clinical documentation meets standards as established by regulatory bodies and payors.
- Communicates compliance policies and guidelines to management and staff.
- Assists with training employees on compliance requirements, including ethical code of conduct and corporate compliance.
- Develops and maintains compliance recordkeeping system.
- Participates in execution of new initiatives and projects. Coordinates timely response to record requests, Subpoenas and Court Orders.
- Assists in editing and timely submission of State required service outcome data (DDAP).
- Participates in monthly quality and compliance calls with DMHAS.
- Participates in Monthly Quality Improvement committee meetings and prepares reports as requested by the Director of Quality and Compliance.
- Assists with quarterly and monthly compliance audits of medical records and assists with entering raw data for analysis.
- Responsible for proper organization and storage of paper Medical Records.
- Responds to Medical Records by gathering all requested documents and submitting them to the requesting party under valid Release of Information.
- Conduct monthly Mental Health Assessment and Referrals audit and submits report to Director of Quality and Compliance.
- Complies monthly Que Report and sends it out timely to relevant recipients.
- Compiles weekly intake and admission report and submits the report to the Operations Analyst.
- Imports Toxicology screens results from Quest to SAMMS and corrects data as needed.
- Manages timely entry of all incoming incident reports and submits incidents to licensure and accreditation body under the supervision of Director of Quality and Compliance.
- Assists with processing results of Surveys collected by the organization.
- Performs miscellaneous tasks as assigned by Director of Quality and Compliance.
Other Duties:
- Maintain strong customer relations through attention to timely completion of tasks and a cooperative approach to project planning and activities.
- Maintains a positive working relationship with other team members.
- Actively participates in team meetings and work groups.
- Assist with Research projects as needed.
- Other duties, as assigned. Duties and responsibilities may be added, deleted or changed as assigned by management.
Qualifications/Skills Required:
- Associate degree in related area with a minimum of 6 months administrative or analytical experience; Bachelor’s degree preferred.
- Proficient skills in the use of Microsoft Office: Word, Excel, Power Point.
- Ability to organize data and create reports.
- Good analytical skills and attention to detail.
- Ability to problem solve and handle multiple tasks.
- Ability to complete assigned projects.
- Ability to travel to different sites
- Ability to exhibit a high level of confidentiality.
