Job summary

Summary

The Commercial Loan Processor provides comprehensive administrative, documentation, and operational support throughout the commercial and commercial real estate loan lifecycle—from receipt of an approved request through documentation, closing, funding, system boarding, and post-closing review. This position reviews credit approvals and supporting information; prepares or coordinates loan documents; completes required regulatory, entity, collateral, and lien due diligence; and ensures all documents accurately reflect approved terms and comply with applicable laws, regulations, policies, and procedures. The Commercial Loan Processor coordinates closings with lenders, members, attorneys, title companies, and other third parties; disburses proceeds; maintains complete credit and collateral files; monitors documentation exceptions, covenants, annual reviews, renewals, and other follow-up items; and verifies that loans are accurately recorded in core and document-management systems. The role communicates deficiencies promptly, supports timely resolution, and delivers accurate, responsive service to internal and external stakeholders.

Essential Duties and Responsibilities
  • Collect, review, and process loan applications, credit approvals, and supporting documentation for completeness, accuracy, and compliance.
  • Review approved credit memoranda to understand each loan’s structure, terms, conditions, collateral, and required documentation.
  • Order and review credit reports, flood determinations, appraisals, environmental reports, surveys, title reports or commitments, lien searches, UCC searches, and other third-party due diligence.
  • Validate entity and authority documentation, including legal names, organizational documents, certificates of existence, ownership, and authorized signers.
  • Prepare internally generated loan documents or coordinate with outside counsel for new loans, renewals, modifications, extensions, and other servicing requests.
  • Prepare attorney engagement letters and coordinate closings with lenders, members, attorneys, title companies, vendors, and internal departments.
  • Perform pre-funding reviews to confirm proper approval authority and ensure all terms, conditions, documents, insurance requirements, and collateral requirements are satisfied before closing or disbursement.
  • Verify that loan documents accurately reflect the credit approval and comply with applicable laws, regulations, policies, procedures, and documentation standards.
  • Ensure collateral insurance is adequate and current, and create, obtain, file, monitor, and terminate documents necessary to perfect and release liens, including UCC filings and recorded instruments.
  • Fund and disburse loan proceeds in accordance with approved terms and established credit union processes and procedures.
  • Set up members, accounts, loans, collateral, and related information in core and document-management systems for new loans, renewals, and modifications.
  • Conduct post-closing and post-funding reviews, verify accurate system boarding, and confirm receipt and accuracy of recorded documents, final title policies, and other trailing documentation.
  • Create and maintain complete, accurate, and organized electronic and physical commercial loan files; image and index documents; and safeguard original notes, titles, and recorded instruments.
  • Maintain ticklers and monitor documentation exceptions, covenants, annual reviews, renewals, insurance, and other follow-up requirements; communicate outstanding items and support timely resolution.
  • Perform approved loan maintenance, including billing corrections, payment schedule updates, reversal entries, late-charge waivers, interest adjustments, and payment extensions.
  • Review departmental and system reports to verify that loan transactions and changes are recorded correctly and resolve discrepancies.
  • Process paid loans, mail paid notes as appropriate, and coordinate collateral releases and lien terminations.
  • Prepare accurate adverse-action information and member communications for commercial loan requests, as needed.
  • Identify documentation or processing deficiencies, take appropriate corrective action, and elevate unresolved questions, disputes, or exceptions to the appropriate level.
  • Respond promptly and professionally to inquiries from lenders, members, branches, departments, attorneys, title companies, and vendors while maintaining productive working relationships.
  • Maintain and update Commercial Loan Processor procedures and assist with departmental reporting, audits, training, and special projects.
  • Complete required Bank Secrecy Act and Anti-Money Laundering training, comply with BSA/AML requirements, and report unusual or suspicious loan activity involving higher-risk members through established channels.
  • Serve as backup for other Commercial Loan Documentation Processors and support continuity of department operations.
  • Attend required department training sessions and meetings, and perform other duties and special projects as assigned.

Qualifications

Minimum three years of commercial loan processing experience that includes processing, closing, perfecting liens, etc. High school diploma or GED. College degree preferred.

  • Ten-key and keyboard skills.
  • Familiarity with loan origination software, word processing, database management and Internet based software programs
  • Strong personal computer skills with experience in Microsoft Office Suite.
