Responsibilities

  • Creates, maintains, and distributes reports for Gvoke and Rare Brands with accuracy.
  • Provides onboarding support and coordinates collateral shipments and name tags.
  • Maintains rosters, distribution lists, and tracking of new hires and changes.
  • Manages inventory of inside sales collateral and demo materials.
  • Maintains Master Sales Calendar for meetings, events, and deadlines.
  • Processes purchase orders and coordinates cross-functional logistics.

## Commercial Administrative Support AssociateApply: Onsite: Chicago, IL: Full time: Posted Yesterday: JR1152**Job Description:****Job Purpose**The Commercial Administrative Support Associate is a key role for providing operational and administrative support across the organization’s Commercial teams and brands. This position helps ensure commercial teams remain focused on achieving business objectives by managing administrative-related tasks while maintaining a high level of accuracy across responsibilities. The Commercial Administrative Support Associate collaborates with Sales, Marketing, and other cross-functional teams to provide administrative support and maintain efficient processes across brands. Responsibilities include managing the sales materials closet, scheduling meetings, supporting the onboarding of new hires, running commercial reports, and completing special projects on behalf of senior commercial leadership as needed.**Essential Job Functions*** Creates, maintains, and distributes recurring and ad hoc reports for Gvoke and Rare Brands, delivering accurate and timely reporting for commercial leadership.* Provides administrative support across all commercial brands to ensure new hires and newly promoted employees are onboarded efficiently and consistently. Responsibilities include coordinating collateral shipments, ordering name tags, apparel, workspace preparation, and other onboarding activities* Updates and maintains rosters & distribution lists and ensures new hires and job changes are tracked and updated accordingly.* Manages the Inside Sales collateral inventory across all brands, including maintaining the collateral closet, coordinating replenishment and distribution, and ensuring expired materials are appropriately removed and destroyed.* Manages inventory and distribution of demo pens and other sales demonstration materials for Inside Sales and Field Sales teams.* Maintains the Master Sales Calendar across all brands, ensuring sales meetings, events, conferences, training activities, and key deadlines are accurately scheduled and communicated.* Processes and coordinates purchase orders for sales-related goods and services in accordance with established company procedures.* Coordinates administrative logistics and works cross functionally with Office Services for brand meetings and other sales meetings, including meeting reservations, food and beverage orders, deliveries, supplies, and related arrangements.* Prepares, updates, and maintains new hire, promotion and performance slides for national sales calls and other sales team communications.* Serves as an administrative liaison between commercial and sales teams, corporate departments, vendors, and other business partners to coordinate requests, resolve issues, improve consistency across brands, and ensure timely completion of administrative activities.* Supports special projects and initiatives assigned by commercial and sales leadership, adapting quickly to shifting priorities and new areas of responsibilities.**Skills and Qualifications*** Bachelor’s degree required.* 3+ years of administrative experience in a professional, fast paced environment.
