Job summary

Vacation Ownership Title Agency, Inc. is seeking a detail-oriented Closing Officer in Boca Raton, FL to coordinate timeshare ownership transfers and closings.

You will work with clients, resorts, title vendors, and internal teams to ensure accurate, compliant, and timely transaction completion. The role requires strong organizational and communication skills, plus experience in real estate closings and timeshare transactions.

Qualifications

  • 5+ years in real estate closings or related field.
  • Experience with timeshare transactions preferred.
  • Strong knowledge of title review and ownership transfer processes.
  • Excellent written and verbal communication; detail-oriented.

Responsibilities

  • Manage timeshare closings from initiation through completion on schedule.
  • Review contracts, ownership documents, and records for accuracy and compliance.
  • Coordinate with clients, resorts, title vendors, developers, and internal teams.
  • Obtain estoppels and transfer requirements; prepare deeds and closing packages.
  • Track high-volume transaction pipeline and maintain meticulous records.
  • Proactively communicate status, requirements, and next steps to stakeholders.
  • Identify and resolve title/transfer issues impacting timelines.
  • Seek process improvements to boost efficiency and customer experience.

As a Closing Officer, you'll play a critical role in coordinating and facilitating timeshare ownership transfers and closings. Every transaction presents its own set of challenges, requiring strong analytical skills, attention to detail, and the ability to think several steps ahead. You'll work closely with clients, resorts, title vendors, and internal teams to ensure transactions are completed accurately, efficiently, and in compliance with all applicable requirements.

This position is ideal for someone who enjoys taking ownership of their work, managing multiple priorities, and finding solutions when obstacles arise. Key Responsibilities
  • Manage timeshare closing transactions from initiation through completion, ensuring all milestones are met accurately and on time.
  • Review contracts, ownership documents, and supporting records for completeness, accuracy, and compliance.
  • Coordinate with clients, resorts, title companies, developers, and internal teams to facilitate seamless ownership transfers.
  • Obtain and review estoppels, transfer requirements, and other documentation necessary to complete transactions.
  • Prepare and process deeds, transfer documents, closing packages, and related correspondence.
  • Track and manage a high-volume pipeline of transactions while maintaining exceptional attention to detail.
  • Identify and resolve title, ownership, documentation, and transfer-related issues that may impact closing timelines.
  • Maintain accurate records and update internal systems throughout the transaction lifecycle.
  • Communicate proactively with all stakeholders regarding transaction status, requirements, and next steps.
  • Ensure compliance with company policies, resort guidelines, state regulations, and industry best practices.
  • Coordinate document execution, recording, and ownership transfer with applicable parties.
  • Research and resolve complex transaction issues, escalating concerns when appropriate.
  • Collaborate with cross-functional departments to ensure successful transaction outcomes.
  • Continuously seek opportunities to improve processes, enhance efficiency, and elevate the customer experience.
  • Meet established productivity, quality, and service-level expectations while maintaining a high degree of accuracy and professionalism.
Qualifications & Preferred Experience
  • 5+ years of experience in real estate closings, title services, escrow operations, timeshare transfers, or a related field preferred.
  • Developer closing experience preferred, including coordinating directly with developers, resorts, and affiliated entities.
  • Commercial real estate closing experience preferred.
  • Experience managing high-volume transactions from contract through closing and ownership transfer.
  • Strong understanding of title review, deed preparation, recording requirements, and ownership transfer processes.
  • Experience working with timeshare transactions preferred.
  • Proven ability to identify and resolve complex title, ownership, and transaction-related issues.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Strong attention to detail and commitment to accuracy.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and transaction management systems.
  • Ability to work independently while collaborating effectively across departments and with external partners.
  • Customer-focused mindset with a proactive approach to problem-solving and continuous improvement.
