Job summary

Actalent in Waltham, MA is seeking a detail-oriented Clinical Trial Associate to support our clinical trials through coordination, logistics, tracking and administrative tasks. The role also involves assisting in departmental operations and special projects to improve study efficiency.

You will work with CTMs, CROs, vendors, and investigators, maintain Trial Master Files, enter data in CTMS, monitor enrollment and regulatory status, and help prepare meeting materials and CDAs.

Qualifications

• Bachelor's degree or equivalent with science/healthcare experience.
• 1–4 years of clinical research experience in pharma/CRO setting.
• Prior pharma/biotech/CRO experience required.

Responsibilities

• Coordinate logistics and tracking for clinical trials as part of the study team.
• Track budgets, invoices, POs, and accruals with CTM and Finance.
• Monitor study status, enrollment, regulatory docs, and site startup.
• Set up, file, maintain, reconcile, and archive Trial Master Files.
• Enter data into CTMS and support external access rights tracking.
• Interact with CROs, vendors, investigators, and monitors to resolve requests.
• Manage and track clinical and non-clinical supplies.
• Assist CTM with agendas and minutes for sub-team meetings.
• Coordinate CDAs/contracts with legal, finance, and Sr. Manager Ops.
• Support site advertisement review with CCC and special operations projects.

We are seeking a detail-oriented Clinical Trial Associate to support our clinical trials through coordination, logistics, tracking, and administrative tasks. This role also involves supporting departmental operations through special projects.

Job Title: Clinical Trial Associate

Responsibilities

• Work as a clinical study team member alongside the Clinical Trial Manager (CTM), coordinating logistics and tracking tasks for clinical trials.
• Track study budgets, including invoice and PO management, reconciliation, and accruals in collaboration with the CTM and Finance.
• Monitor study status, enrollment, regulatory documentation, and site start-up status for assigned clinical projects.
• Set up, file, maintain, reconcile, and archive electronic and paper Trial Master Files.
• Enter data into Clinical Trial Management Systems and support tracking of external access rights.
• Interact with CROs, vendors, investigators, monitors, and other external partners to provide information and resolve specific requests and issues.
• Manage and track clinical and non-clinical supplies.
• Assist the CTM with agendas and meeting minutes for clinical sub-team meetings and logistics coordination for investigator and external vendor meetings.
• Coordinate site and CRO/vendor Confidential Disclosure Agreements (CDAs) and contracts with the Sr. Manager Clinical Operations, legal, and finance departments.
• Facilitate site advertisement review and approval with the CCC Committee.
• Support special projects for operations and departmental initiatives such as ClinicalTrials.gov, SOPs, GCP, process enhancements, outsourcing, and Sunshine Act compliance.

Essential Skills

• Bachelors degree or equivalent undergraduate degree with science or healthcare experience.
• 1-4 years of clinical research experience in a pharmaceutical/biotech, or CRO setting.
• Prior experience in Pharma/BioTech/CRO is required.

Work Environment

This role is based in Waltham, MA, requiring five days in-office work with potential for some hybrid flexibility. Adaptability to process and requirements changes is essential.

Job Type & Location

This is a Contract position based out of Waltham, MA.

Pay And Benefits

The pay range for this position is $45.00 - $55.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
