Job summary

Mosaic Life Care in Missouri is seeking a Rotation Scheduling Coordinator to serve as the primary liaison for ATSU, MU SOM, UMKC SOM, and KCU COM, developing and managing complex rotation schedules region-wide.

You will secure preceptor placements a year in advance, coordinate onboarding requirements, maintain student records for audits, and collaborate with schools and preceptors to ensure timely, quality clinical training.

Job Description

This position serves as the primary coordinator for all medical students completing core clinical rotations. The individual in this role works directly with multiple schools of medicine, including A.T. Still University (ATSU), the University of Missouri School of Medicine (MU SOM), the University of Missouri-Kansas City School of Medicine (UMKC SOM), and Kansas City University College of Osteopathic Medicine (KCU COM), to develop and manage complex rotation schedules that meet the unique requirements of each institution. This includes creating individualized schedules for every student assigned to the region. The position is responsible for securing preceptor placements approximately one year in advance and coordinating all scheduling details among the medical schools, students, and preceptors. When changes occur due to student needs or preceptor availability, the coordinator must quickly identify and secure replacement placements to ensure continuity of training. In addition, this role maintains ongoing relationships with each school of medicine through monthly meetings focused on student placement, rotation management, and program needs. The position serves as the primary coordinator for ATSU, MU, and KCU students throughout their two-year clinical education experience and also coordinates summer clinical rotations at Mosaic Life Care for ATSU and MU students. While UMKC has two coordinators supporting students on the St. Joseph campus, this position independently manages the coordination responsibilities for the other medical schools.

Responsibilities
  • Serves as the primary point of contact for medical schools and physician assistant programs seeking to place students in clinical rotations throughout Northwest Missouri. Coordinates with educational institutions to facilitate student placements and ensure compliance with all onboarding requirements, including immunizations, background checks, liability insurance, affiliation agreements, and other required documentation. Works closely with schools and internal stakeholders to verify that all requirements are completed before students arrive on-site, ensuring compliance with Mosaic Life Care policies and standards. Maintains comprehensive student records and documentation for audit, accreditation, regulatory, and governing body review as required.
  • Performs annual comprehensive assessment with AHEC Executive Director, Medical Director, and/or Mosaic Life Care Senior Leadership regarding student placement capacity for the upcoming academic year. These decisions determine the number of students from medical schools affiliated with Mosaic Life Care who can be accommodated and are made with careful consideration of preceptor availability, educational quality, and the clinical training capacity of participating sites.
  • Coordinates all aspects of student clinical rotation scheduling upon assignment across multiple specialties, departments, and healthcare setting, including confirming preceptor availability and providing ongoing communication/reminders to preceptors, leadership, and students throughout the academic year.
  • Serves as the primary point of contact for students completing clinical rotations, assessing individual educational requirements, including required rotations and elective experiences, and providing guidance and support to address student concerns and challenges.
  • In collaboration with the Executive Director and AHEC Medical Director, identifies, recruits, develops, and maintains relationships with preceptors throughout Mosaic Life Care and northwest Missouri to support discipline-specific, multidisciplinary, and interprofessional clinical training experiences. Continuously expands the preceptor network to meet student placement needs and regional workforce demands while ensuring compliance with academic institution preceptor approval, credentialing, and affiliation requirements. Provides ongoing support, communication, and resources to preceptors to promote high-quality clinical learning experiences and long-term engagement.
  • Facilitates student engagement within the community by connecting medical students with local contacts, organizations, and resources for Community Integration Projects if applicable.
  • Coordinates, proctors examinations, and oversees the administration of program requirements, including journal clubs, oral case presentations, lectures, student reviews, evaluations, and other academic assignments to ensure compliance with medical school curriculum and program expectations.
  • Develops, supports, and manages clinical training sites and associated resources, including student housing, educational needs, and electronic resources, to facilitate high-quality clinical learning experiences.
  • Collaborates with the Missouri AHEC Program to coordinate AHEC Scholars Program activities and ensure community-based education training (CbET) students fulfill required core topic curriculum and program requirements.
  • Responsible for assisting with the preparation of reports for Missouri AHEC and supporting the achievement of grant objectives and performance targets. The position is responsible for accurately documenting and maintaining all medical student data within the MAHEC reporting database to ensure complete and timely recordkeeping, reporting, and compliance with grant requirements.
  • Maintains knowledge of Interprofessional Education (IPE) principles and core competencies and is responsible for coordinating IPE activities for medical students. Facilitates educational experiences that promote collaboration, communication, and teamwork among students from multiple health professions disciplines.
