Job summary

Ann & Robert H. Lurie Children’s Hospital of Chicago seeks an experienced administrative professional to coordinate subspecialty scheduling and support interdisciplinary teams.

The role includes serving as a primary resource for providers and Division leadership, and assisting with referrals, events, and communications. The position emphasizes collaboration, process improvement, and maintaining clinical databases and division content.

Qualifications

  • High School Diploma required; Bachelor’s Degree preferred; minimum four years of related administrative experience.
  • Excellent leadership, organizational and analytical skills, ability to work with teams, strong written/verbal communication.
  • Strong planning and coordination skills; ability to work independently and exercise good judgment; knowledge of medical terminology and medical education programs, preferred.

Responsibilities

  • Develop an organized scheduling process for subspecialty patients and interdisciplinary teams.
  • Serve as the primary resource for problem solving for providers and Division Administrator; identify performance improvement goals.
  • Act as the point of contact for referring physician practices and resolve issues related to new patient referrals and scheduling.
  • Maintain knowledge of benefit eligibility, provisions and precertification needs; secure necessary approvals for coordinated care.
  • Support development and promotion of department events and meetings; monitor progress and address questions or concerns.
  • Manage division content for websites and coordinate with Marketing for materials distribution.
  • Assist with Advanced Fellowship recruitment and coordination of educational programs for the division.
  • Provide editorial assistance for abstracts, posters, manuscripts and presentations.
  • Help faculty and research staff operationalize studies within the Clinical Division.
  • Perform other assigned duties as needed.

Job Description
  • Works with providers, division administrator and hospital personnel to develop an organized scheduling process for the patients of a particular subspecialty and across interdisciplinary teams.
  • Acts as the primary resource for problem solving for providers and Division Administrator for the Division. Identifies goals and objectives for performance improvement projects in order to provide the best patient care, optimum customer service and improve physician satisfaction.
  • Serves as point of contact for referring physician practices and works with them to resolve issues related to new patient referrals/scheduling.
  • Maintains knowledge of benefit eligibility, provisions and precertification needs as required by payers. Works with appropriate individuals to ensure that all necessary approvals and clearances are received for coordinated care.
  • Works with administrative staff and Division leadership in the development, coordination and promotion of Department events and meetings.
  • In conjunction with Division Leadership, monitors overall progress of the department and supports appropriate action to address questions or concerns. This can include regulatory requirements, quality improvement projects, and volumes for the department.
  • Maintains a clinical database on subspecialty patients and assures proper information is being collected and stored.
  • Works with Division leadership to conduct routine needs assessments for the Division. Builds and maintains relationships with development partners. Reviews funding proposals and stewardship reports for donors, the Foundation, or external funding sources.
  • Completes agendas, minutes, correspondence, and distributes materials to appropriate individuals.
  • Maintains division-specific content for Divisional website (Lurie and NU) and works with appropriate departments to update content routinely. Collaborates with Marketing to create and distribute marketing/promotional materials.
  • When applicable, assists with all aspects of the Advanced Fellowship, including recruitment, in coordination with the Education Coordinator. This would include supporting the educational programs in onboarding, maintaining and exiting all students/trainees related to the respective division.
  • Provides editorial assistance for abstract, poster, manuscript and presentation preparation.
  • If applicable, assists faculty and research staff members to operationalize research studies within the Clinical Division. Acts as a central resource for research staff in regards to the division.

Minimum Requirements:
  • High School Diploma Required. Bachelor’s Degree Preferred; minimum four years of related administrative experience required. A combination of education and experience will be considered in lieu of either area.
  • Excellent leadership, organizational and analytical skills, ability to work with teams, strong written/verbal communication.
  • Strong planning and coordination skills.
  • Ability to work independently and exercise good and professional judgment.
  • Knowledge of medical terminology and medical education programs, preferred.
  • Experience in an Academic Medical Center, preferred
  • Extensive knowledge and experience working with Microsoft applications

Pay Range

$24.00-$39.24 Hourly
