Job: Clinical Services Associate (Medical Assistant)
Job Summary
The Clinical Services Associate (CSA) assists the practice manager and physicians in maintaining a patient/customer focus, supports the delivery of high quality care, and helps meet or exceed patient satisfaction and financial/operational targets. The CSA supports the practice by performing clinical and administrative duties as a Medical Assistant and as a Patient Services Associate. The practice will determine, based on operational need, how much time will be spent in each capacity (MA and PSA).
Accountabilities
Patient Care Accountabilities
- Promptly rooms patients, uses EMR to alert the provider that the patient is ready; reviews medical history, allergies, medications, and notes corrections or refills; documents vital signs and prepares the chart for the visit; notes insurance restrictions for labs, referrals, and precertification requirements.
- Observes patient condition and communicates abnormal data or changes to the provider.
- Assists patients with mobility and preparation for exams as needed.
- Specimen management: obtain specimens for testing (including phlebotomy and nasal swabs), perform laboratory and screening tests, record results in EMR, reconcile with logs, and report findings to providers; perform quality controls per Point of Care Testing guidelines and prepare specimens for transport.
- Performs EKGs and other outpatient screening tests, and documents results in EMR.
- Assists with minor surgical procedures by handing instruments, maintaining sterile field, and aiding in patient positioning; may witness procedural consents as required.
- Responds appropriately to emergency/code situations.
- Demonstrates competence in observation, treatment, and care for patients from neonate to geriatric ages served by the practice.
- As applicable per regulatory guidelines: administers prescribed medications, gives injections and vaccines, reads PPD results, and documents in EMR under provider direction.
Clerical / Other Accountabilities
- Responsive and proactive telephonic patient care, care coordination with specialists, ancillary services, hospitals, labs, home care agencies, and other health services.
- Obtain and scan visit-related documents (test results, faxes, reports, notes, referrals).
- Complete medical forms and other clinical requests; prepare and send patient correspondence; assist nursing staff with patient education materials as needed.
- Promptly perform call-backs as directed by the provider and provide follow-up care instructions within the scope of practice.
Environmental / Safety Accountabilities
- Adhere to universal precautions and infection control policies; dispose of infectious waste properly; promote infection control with proper hand washing techniques.
- Keep patient care areas neat, stocked, and prepared; clean, disinfect, and sterilize instruments and equipment; notify supervisor of malfunctions; set up equipment as per protocol.
- Restock equipment; access secured areas as needed for stocking; deliver medications and blood products to the appropriate nurse or provider; maintain temperature logs for refrigerators or room temperature as needed.
- Maintain a safe environment to protect patients from injury and manage falls or disorientation risk; maintain medication storage inventory and security; perform daily code/crash cart checks as assigned.
Patient Service
- Understand and anticipate patient needs, manage service recovery, and identify opportunities to improve the patient experience.
- Answer phones promptly, manage patient requests, and route appropriately; retrieve voicemails timely and document messages in EMR.
- Schedule patient appointments, confirm changes, and offer alternatives or reschedule as needed; manage check-out activities including copays, signatures, insurance/cards, referrals/authorizations, and EMR updates.
- Communicate patient flow and wait times to the manager; issue referrals and obtain pre-authorizations as required by protocol.
Financial
- Maintain knowledge of insurance requirements relevant to patient service and billing; understand managed care plans and copayment/referral requirements.
- Verify patient demographics/insurance information and register new patients in EMR; perform end-of-day cash reconciliation and manage accounts receivable queues; generate front-end reports as requested.
- Order supplies and keep front-end process reports up to date.
Other / Regulatory
- Ensure compliance with applicable federal, state, and local regulatory standards (e.g., TJC, DOH, FDA, HIPAA, HCFA, DPW, LCGME, SCGME); adapt to new processes and practice changes.
- Perform duties in accordance with Penn Medicine and entity values, policies, and procedures; other duties as assigned to support the unit and health system.
Qualifications
- High School Diploma/GED (Required)
- 2+ years medical office or relevant customer service experience (Required). Advanced degree may be considered in lieu of experience.
- Completion of an accredited Medical Assistant program (or higher) required. 2+ years MA experience may be considered in lieu of MA program completion; 1+ year as Clinical Support Representative at Penn Medicine may be considered in lieu of MA program completion.
- Associate’s Degree (Preferred)
Licenses, Registrations, and Certifications
- MA Certification (required within 90 days of hire)
- BLS/CPR for Healthcare Providers
- EPIC scheduling training/tests required (successfully complete/pass)
