Job summary

American Career College in Richardson, TX seeks a Clinical Operations Manager to support the Nursing Program by coordinating student clinical placements and ensuring regulatory compliance. You will train and orient students for clinical rotations while serving as a liaison among students, faculty, and clinical partners.

You will maintain site documentation and help ensure a seamless clinical learning experience, working with nursing leadership to meet objectives and keep regulatory standards.

Qualifications

  • Willingness to travel locally as needed.

Responsibilities

  • Coordinate and schedule student clinical placements with site partners.
  • Maintain accurate documentation: health forms, immunizations, CPR, and site paperwork.
  • Oversee training related to clinical readiness and regulatory education.
  • Manage site readiness, orientation, and safety trainings (BLS, fire safety).
  • Track and renew clinical site contracts, contact information, and renewal dates.
  • Serve as liaison between students, faculty, and clinical partners.
  • Ensure regulatory and accreditation documentation is up to date.

Job description

Reporting to the Campus Associate Director of Nursing, Clinical Operations, the Clinical Operations Manager supports the Nursing Program by managing key aspects of clinical education operations. This role is responsible for coordinating student clinical placements and ensuring compliance requirements and site documentation. The Clinical Operations Manager ensures students are properly trained, oriented and prepared for clinical rotations, and serves as a liaison between students, faculty, and clinical partners. This role plays a critical part in maintaining program quality, regulatory compliance, and supporting a seamless transition to clinical learning for students.

Essential Functions & Responsibilities:
  • Confirms clinical site availability and assignments in collaboration with program leadership.
  • Responsible for planning and scheduling students at clinical site rotations.
  • Collect and maintain documentation such as attestation forms, injury reports, and site-specific paperwork.
  • Coordinate and facilitate student training related to clinical readiness, including orientation sessions and regulatory education.
  • Organize and schedule Basic Life Support (BLS) and fire safety training sessions for students.
  • Oversee the clearance process for student clinical eligibility, including tracking of physicals, health clearances and immunizations.
  • Collects and maintains appropriate documentation related to clinical education, such as health forms, CPR certification, student evaluations and site evaluations.
  • Assist with resolving clinical site issues or incidents involving students or staff.
  • Assists in ensuring program is meeting all compliance related requirements.
  • Maintain strong communication with clinical site representatives, clinical instructors and students to support operational success.
  • Ensure accurate and timely documentation is completed and maintained for regulatory and accreditation purposes.
  • Works with clinical staff and students to clarify policies and procedures specific to the facility.
  • Partners with other nursing leaders to ensure a seamless and efficient clinical experience for our students.
  • Maintains accurate clinical site information database, including contact information and contractual agreement dates and initiates renewal process timely.
  • Partners with leadership to maintain positive relationships with our clinical partners as well as the development and retention of clinical sites.
  • Assists with on-site visits to ensure performance objectives are being met.
  • May perform other duties as assigned.
Minimum & Preferred Qualifications:
Required:
  • High school graduate or equivalent required.
  • Current CPR card.
Preferred:
  • Bachelor's degree from an academic institution accredited by a regional or national accrediting agency that is recognized by the U.S. Department of Education (USDE) preferred.
  • Texas license as a Registered Nurse (RN) preferred.
Experience & Skills:
Required:
  • A minimum of three (3) years of related experience is required.
  • Ability to demonstrate an understanding of the nursing/healthcare field or discipline.
  • Ability to effectively operate related equipment and machines for instructional purposes.
  • Ability to operate a variety of office equipment and machines such as computer terminals, calculators and copiers.
  • Ability to manage and work effectively in a highly ethnic and culturally diverse student and associate community.
  • Ability to use effective communication skills, both oral and written, including presentations and effective listening skills.
  • Ability to speak before public groups, committees and meetings.
  • Ability to effectively use interpersonal skills, follow through with duties, provide attention to detail and demonstrate the ability to motivate others.
  • Ability to use creative facilitation and conflict resolution skills to resolve difficult and sensitive issues.
  • Ability to demonstrate excellent analytical and organizational skills.
  • Ability to self-direct, self-pace, multi-task and function well under pressure of deadlines and conflicting priorities.
  • Ability to work with individuals at all levels of the organization.
  • Ability to exercise good judgment.
  • Ability to interpret rules, regulations, policies and procedures and assure compliance.
  • Ability to demonstrate excellent customer service skills and maintain cooperative and effective working relationships with others.
  • Willingness to work a flexible schedule.
  • Ability to travel/drive locally on a weekly, daily and/or on an as-needed basis.
Preferred:
  • Ability to demonstrate bilingual skills is a plus but not mandatory.
