Allara is building the leading telehealth platform for women's hormonal health, with 500+ providers nationwide. The Clinical Operations Associate is a curious self-starter who ensures providers are trained, onboarded, and ready on start dates while identifying bottlenecks across operations.

You will design automation and process improvements that support provider journey, scheduling, and cross-functional collaboration, with hybrid NYC-based work and US-wide remote options.

Qualifications

  • 1-2 years of experience in operations, coordination, healthcare administration, or a similar execution-heavy role.
  • Highly organized with strong attention to detail and ability to manage many moving parts and shifting priorities.
  • A true self-starter who seeks blockers and resolves them proactively.
  • Process oriented but adaptable when improvements are needed.
  • Clear, professional written and verbal communication skills.
  • Data-literate and comfortable using trackers or databases.
  • AI curiosity and openness to evolving tools and workflows.

Responsibilities

  • Track incoming providers against onboarding checklists, trainings, credentialing milestones, and start dates.
  • Proactively follow up with providers delayed on trainings and escalate when start dates are at risk.
  • Monitor onboarding pipeline to identify bottlenecks and patterns.
  • Keep provider records in Airtable and related systems clean and trustworthy.
  • Work cross-functionally to identify and unblock bottlenecks.

The Opportunity

Allara is building the leading telehealth platform for women's hormonal health and our provider network is the engine that makes it run. With 500+ providers across 50 states and rapid growth ahead, getting every new provider trained, confident and ready on their start date is critical to our success. The Clinical Operations Associate is a curious self-starter who is agile in jumping in to solve the biggest problems across Clinical Operations, from keeping our provider pipeline moving to building care automations and more. You are the person who notices when something is about to slip before it slips, and who chases it down without needing to be asked twice.

Location

Hybrid (NYC). We value in-person collaboration and aim for at least three days per week in our NYC office, with flexibility as needed or fully remote within the U.S.

Your Impact
Support the provider onboarding process
  • Track every incoming provider against their onboarding checklist, trainings, credentialing milestones, and start date, and keep that tracker accurate and current

  • Proactively follow up with providers who are falling behind on required trainings, and elevate when a delay puts a start date at risk

  • Monitor the onboarding pipeline for patterns, where are providers consistently getting stuck, and why

  • Keep provider records (Airtable and related systems) clean, current, and trustworthy as a source of truth for the rest of the team

  • Work cross-functionally to identify and unblock bottlenecks

Spot problems before they become problems
  • Flag at-risk start dates early, with enough lead time for the team to intervene

  • Notice when a process, template, or handoff isn’t working and raise it you don’t wait for something to break to mention it

  • Bring solutions, not just observations, when you flag an issue

  • Design clinical operations systems for automation and scale; this could include anything that touches provider journey, patient scheduling, clinical practice enablement and more

Support the broader provider experience
  • Help maintain communications and templates (emails, reminders, checklists) so providers always know what’s next and clarity is our default

  • Support ad hoc projects that improve the provider journey as the team continues to scale

Required Qualifications
  • 1-2 years of experience in operations, coordination, healthcare administration, or a similar execution-heavy role

  • Highly organized with strong attention to detail and ability to keep track of many moving parts with many competing and constantly shifting priorities.

  • A true self-starter: you look for what’s blocking progress rather than waiting to be told

  • Process oriented but don’t get attached to a solution if you notice what you built is no longer working. You iterate and move forward quickly.

  • Comfortable asking questions and raising issues proactively - ready to offer a solution.

  • Clear, professional written and verbal communicator - you balance setting expectations firmly but put forth a human-centric way of communicating

  • Data-literate: comfortable working in a tracker or database and keeping it accurate

  • Flexible and adaptable: you iterate when needed as new issues arise – priorities shift and you accept the challenge

  • AI Curious: you’re excited about how evolving tools can continue to change and evolve your role

Preferred Qualifications
  • Experience in telehealth, healthcare operations, or a multi-stakeholder onboarding process.

  • Familiarity with tools like Airtable, Notion, Google Suite, Slack, Metabase, or similar operational platforms.

  • Exposure to W-2/1099 workforce classification nuances

  • Genuine interest in Allara’s mission and improving the experience of the clinicians who deliver our care
