Position Summary

We are seeking a dedicated and dynamic Clinical Coordinator III, Nurse Practitioner (NP) to join the Plastic Surgery team within the Department of Surgery at Columbia University Irving Medical Center (CUIMC). This full-time role is primarily based in the outpatient setting, providing comprehensive clinical care for pediatric patients with vascular anomalies, in collaboration with a multidisciplinary team. The NP serves as a critical clinical and administrative liaison among patients, families, referring providers, and the Vascular Anomalies Clinic (VAC) team. Responsibilities include direct patient care, coordination of services, inpatient rounding, and occasional travel to off-site locations. The ideal candidate is an autonomous, organized, and compassionate professional with pediatric experience and excellent interpersonal skills.

Responsibilities

Outpatient Clinical Care

• Screen new referrals and review external medical records, imaging, and operative reports.


• Ensure all necessary documentation is obtained before clinic scheduling.


• Participate in all VAC clinic sessions alongside the multidisciplinary care team.


• Perform clinical documentation in the EMR, including medication reconciliation and history updates.


• Order appropriate labs and imaging studies through CHONY.


• Provide support documentation such as absentee notes, letters of medical necessity, and home health care forms.


• Follow up on lab results, imaging studies, and specialist consultations (e.g., Orthopedics, Hematology, ENT, Cardiology, PT/OT).


• Educate families on diagnosis, treatment plans, and available resources.


• Maintain clear and timely communication with referring providers to ensure continuity of care.


• Triage incoming phone calls and messages from patients, families, and providers.

Administrative Coordination

• Triage and respond to communications from the VAC phone line and email inbox.


• Verify patient eligibility with providers and assign patients to appropriate specialists (e.g., Pediatric Surgery, IR, Plastic Surgery).


• Confirm insurance eligibility prior to scheduling visits.


• Coordinate clinic schedules, balancing new and follow-up appointments in collaboration with administrative staff.


• Prepare new patient intake documentation and clinical folders.


• Distribute clinic notes, pathology results, and imaging to referring providers and pediatricians.

Technology & Documentation

• Utilize EHR and Philips PACS systems for medical documentation and imaging review.


• Place electronic orders for labs, imaging, and follow-up tests.


• Maintain a centralized database of patients, clinic visits, and follow-up plans.


• Support telehealth services for virtual screenings, follow-ups, and second opinions.

Research & Data Management

• Contribute to the development and maintenance of a patient database for vascular anomalies.


• Support clinical research initiatives through data collection and management.

Minimum Qualifications

Minimum education:

• Master of Science in Nursing or equivalent in education and experience

Minimum Related Experience

• 3-5 years of related experience.

Minimum Licensing/certification Required Upon Start Date

• Current NYS RN and NP Licenses


• ANCC Board Certification


• BLS Certification


• NYS DEA Certification

Preferred Qualifications

• ACLS Certification preferred.


• Prior pediatric experience strongly preferred.


• Experience in craniofacial plastic surgery is preferred.

Other Requirements

Qualifications for Candidates include but are not limited to the following:

• Intermediate to advanced level MS Office skills, experience with EMR.


• Must be able to complete systems training requirements.


• Experience with EMR and imaging systems (e.g. PACS).


• Ability to perform comprehensive history and physical examination.


• Ability to manage and coordinate a patient caseload.


• Work within a collaborative agreement/protocols with a physician and health care team.


• Demonstrate leadership ability to manage patients and interact effectively with peers and physicians.
