Job summary

Mount Sinai Health System in New York seeks a clinical operations coordinator to support physicians and surgeons, acting as liaison among patients, families and providers. Qualifications

Responsibilities

  • Liaison between physicians, patients, families, providers, nursing homes and insurers to ensure quality care.
  • Coordinate daily physician team staff activities to ensure efficient operations.
  • Assist with patient care tasks such as exams, vitals, and patient preparation.
  • Handle clerical tasks: records, reports, forms, and chart management in EMR.
  • Enter orders or prep prescriptions for physician review in EMR.
  • Inventory, order, and restock medical supplies.
  • Set up exam rooms and instruments per sterilization policies.
  • Maintain logs for refrigeration, testing, sterilization, and crash carts.
  • Check medication and supply expiry; dispose as required.
  • Maintain a safe work environment and comply with regulations and PPE.
  • Assist with scheduling surgeries or coordinating with Surgical Coordinator.
  • May perform phlebotomy duties as needed.
  • Schedule appointments and register patients; update demographics.
  • Maintain patient office schedules and verify insurance information.
  • Provide training and mentoring to Level I MA staff.
  • Direct MA schedules and workflow to meet patient volumes.
  • Ensure delivery of clinical office support for physicians.
  • Perform other duties as assigned.

Description

Provides clinical and administrative support to physicians/surgeons. He/she coordinates patient care by serving as a liaison between physicians, patients, families, internal/external healthcare providers, homecare providers and insurance companies. Mentors and trains less experience staff members.

Responsibilities

1. Serves as a liaison between physicians, patients, families, healthcare providers, nursing homes, homecare providers, patient employers and insurance companies to ensure quality patient care for patients seen in the campus and offsite satellite offices.

2. Coordinates the daily activities of the physician team staff to ensure an effective and efficient daily operations flow.

3. Fulfills patient care responsibilities as assigned which may include: checking schedules and organizing patient flow; accompanying patients to exam/procedure room, assisting patients as needed with walking, transferring, dressing, collecting and processing specimens and point of care testing, preparing for exam, etc. Assists physicians with various procedures, takes vital signs, relays instructions to patients and or families; answers calls and provides pertinent information.

4. Fulfills clerical responsibilities as assigned which may include: sending and receiving patient medical records; obtaining lab/x-ray reports, hospital notes, referral information, etc. Completing forms and requisitions as needed, managing charts to ensure information is completed and filed appropriately. These responsibilities may be carried out using the electronic medical record (EMR) system, database or manually as necessary.

5. Enters orders into the electronic medical record (EMR) system or prepares prescription refill requests on behalf of the physician for the review and approval by the ordering physician.

6. Inventories, orders or re-stocks medical supplies as applicable.

7. Provides set-up of examination room and instruments in accordance with proper sterilization techniques established by hospital and infection control policies.

8. Maintains logging system as required for refrigeration of medications, point of care testing, sterilization process, crash cart or others as needed.

9. Checks expiration dates on all medications and medical supplies disposing appropriately as per institution policy.

10. Maintains a safe, secure, and healthy work environment by following standards and procedures and in compliance with legal regulations.

11. Complies with established personal protective equipment requirements necessary for protection against exposure to blood and other potentially infections body fluids, chemical disinfectants, radiation and other hazardous substances.

12. May schedule surgeries/procedures or work in conjunction with Surgical Coordinator verifying times with patients; preparing charts, pre-admissions and consent forms as necessary.

13. May be required to perform proficient phlebotomy duties.

14. May perform appointment scheduling and registration for patients as well as updating patient demographic and insurance information. Assists in the maintenance of medical charts (filing, Op Reports, test results, home care forms).

15. May maintain, adjust and confirm patient office schedule.

16. May check and verify & update insurance information utilizing internal or web sources. May perform and verify pre-certification for procedures as necessary.

17. Provides training and mentoring to Level I MA staff.

18. Directs and assigns MA schedules and work flow to meet the needs of the practice and applicable to patient volumes.

19. Oversees the successful delivery of clinical office support to meet the needs of each physician.

20. Performs other duties as assigned.

Qualifications
  • 3 years of experience as a Medical Assistant; 5 years of experience preferred

Compensation

The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $26.8018 - $36.6767 Hourly. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
