Job description

We are seeking a Clinical Supervisor who is responsible for managing the clinic operations for the White Marsh Gyn/Ob practice. The role includes assuring the smooth flow of patients and paperwork, managing the administrative staff, and refining operations to improve patient, family, provider, and employee satisfaction. The supervisor will proactively assess and implement appropriate processes to ensure that all facets of clinic practice management are effective, including scheduling efficiency, complete and accurate registration, insurance referral and preauthorization requirements, patient relations and satisfaction, and regulatory compliance.

Specific Duties and Responsibilities
  • Oversee the day‑to‑day operations of the White Marsh Gyn/Ob practice and work with administrative, nursing leadership, and physician leadership to establish protocols and procedures.
  • Manage the process for maintaining adequate administrative staff, secure and coordinate staff training in conjunction with the Nurse Manager.
  • Collaborate with the Nurse Manager/Assistant Director of Nursing and Clinical Director on clinical operations, process improvement projects, and initiatives directly related to the clinic’s metrics.
  • Serve as Epic Super‑user for EMR troubleshooting and process change/enhancements for staff and providers along with SAP, decision tree, and templates.
  • Ensure the clinic delivers excellent service to each patient, monitor quality and safety measures, and maintain knowledge of key metrics. Work with clinic leadership to identify opportunities and create action plans to improve performance. Report regularly on performance and initiatives to leadership.
  • Monitor patient satisfaction through JHM dashboards and online survey sites, review monthly reports, and distribute provider comments to staff. Work with leadership and staff to develop annual action plans to improve and coordinate service excellence training as needed.
  • Monitor operational metrics and develop reports on access, volumes, patient counts, show rates, cancellations, room utilization, and other metrics to assess practice performance. Provide recommendations and action plans to manage the clinic effectively. Work with the clinic Director and Nursing leadership to assess performance and support providers.
  • Assist with basic data analysis needs at the direction of the administrator or medical director. Manage work queues and other reports in Epic to assist with operations and quality of care.
  • Serve as a liaison between administrative staff for appointment scheduling and registration activity, including call volumes, registration audits, billing concerns and template management.
  • Maintain oversight of the downtime computer and update documentation.
  • Complete weekly payroll for all staff and review time‑clock documentation.
  • Ensure workstations, fax machines, telephones and printers are in working condition and place work orders for maintenance.
  • Act as patient advocate to resolve and diffuse questions and complaints.
  • Work with the JH Billing Office to resolve billing issues for patients.
  • Oversee all aspects of daily clinic operations including registration, phone, services, insurance verification and collection of copays and time‑of‑service payments.
  • Interpret and communicate operating policies to PSC staff.
  • Maintain knowledge of billing, claims processing and insurance carrier requirements.
  • Work with the Nurse Manager to ensure compliance with Johns Hopkins guidelines, Environmental Service requirements and organizational standards.
  • Work closely with Administration to ensure departmental standards are met, efficiencies created and services coordinated.
  • Attend clinic and departmental meetings, serve on assigned committees and implement policies and procedures from those activities.
  • Ensure compliance with standards of the Joint Commission, CMS and other regulatory agencies. Work with Regulatory Affairs, JHHS compliance, billing QA as needed and address requirements.
  • Monitor service collections and prepare deposits for pick‑up.
  • Order office supplies, medical equipment, furniture, etc. via SAP.
  • Act as a resource for staff when the Nurse Manager is out of the office and provide appropriate guidance.
Provides Direct Support for the PSCs When Staffing is Decreased
  • Schedule appointments.
  • Verify demographic and insurance information.
  • Obtain required authorizations/referrals.
  • Answer incoming calls.
  • Prepare daily schedules.
  • Inform patients about relevant charges.
  • Collect and reconcile copays and other time‑of‑service payments.
  • Guide patients to appropriate resources for further information or assistance.
  • Provide other assistance as needed.
Special Knowledge, Skills and Abilities

Minimum Qualifications
  • Bachelor’s degree.
  • High school diploma or GED (JHU equivalency formula: 30 undergraduate credits or 18 graduate credits may substitute for one year of experience; additional related experience may substitute for required education).
  • Supervisor experience required.
Preferred Qualifications
  • Understanding of changing reimbursement policies and third‑party reimbursement.
  • Five years of experience in a health care setting with customer service in outpatient ambulatory care, insurance verification, patient information and transport coordination.
  • Comprehensive understanding of medical and insurance terminology.
  • Technical competence and proficiency with medical insurance plans, billing regulations and managed care plans applicable to outpatient care.
  • Working knowledge of daily reconciliation and bank deposit processes.
  • Working knowledge of value‑based purchasing and meaningful use criteria.
  • Working knowledge of medical terminology.

Starting Salary Range: $21.25 – $36.90 HRLY ($69,000 targeted; commensurate with experience)

Employee Group: Full Time
