Job Overview
We are seeking a dynamic and dedicated Clinic Outreach and Operations Coordinator to support clinic growth through community outreach, marketing coordination, and patient engagement. This position will also involve assisting with day-to-day front office administrative operations. This role is ideal for someone who is organized, outgoing, and comfortable wearing multiple hats in a fast-paced clinical environment.
Key Responsibilities
Marketing, Outreach & Growth (Primary Focus)
- Coordinate and execute local marketing and community outreach efforts to grow patient volume (schools, sports organizations, employers, community events).
- Maintain relationships with referral partners and local organizations; represent the clinic at events as needed.
- Film content as needed for the social media management team.
- Assist with promotional campaigns for wellness services, physicals (DOT/school/sports), medical exams, and X‑ray services.
- Track basic marketing activity and results (event leads, referral sources, appointment inquiries) and share updates with leadership.
Office Coordination & Clinic Support
- Assist with administrative tasks, including document handling, scanning, filing, and maintaining forms.
- Coordinate supply needs for front office and marketing materials; support ordering and inventory tracking as assigned.
- Support front office operations as needed to ensure a great patient experience.
- Support internal coordination between clinical staff and leadership to keep workflows running smoothly.
- Handle other duties as assigned to support clinic operations and growth.
Qualifications
- 1‑3 years of experience in marketing coordination, customer service, office administration, or healthcare front office (urgent care/medical office experience preferred).
- Minimum 3 years experience in Outreach Marketing (REQUIRED).
- Strong communication skills and professional presence in person, on the phone, and in writing.
- Highly organized with attention to detail and ability to manage multiple priorities.
- Comfortable with basic technology (scheduling systems, Microsoft/Google tools).
- Ability to maintain confidentiality and professionalism in a healthcare setting (HIPAA awareness preferred).
