Job summary

Retina Associates of Kentucky, part of EyeCare Partners, seeks an Ophthalmic Clinic Manager to oversee clinical staff and day-to-day operations in Lexington. You will lead patient-centered workflows, ensure accurate EHR documentation, and coordinate with ophthalmologists for high-quality care.

  • Ensure staff correctly submit medications and refills to patients' pharmacies.
  • Ensure timely flow of visual fields, Biometry, refractions, OCT, and Topography testing.
  • Maintain accurate EHR entries for patient information gathered during exams.

SUMMARY

As an Ophthalmic Clinic Manager, you are responsible for the management and oversight of clinical staff processes within the assigned scope of responsibility to accurately and efficiently lead assignedstaff membersin the execution of day-to-day operations in support of each Ophthalmologist, while working in a fast-paced environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Lead assigned functional teams in providing exceptional customer service during every patient encounter.Display a professional attitude; ensure all staff greet patients promptly with a smile and thank them when they leave.
  • Provide operational leadership to the staff supporting the Ophthalmologist in conduct of office visits and in-office surgical procedures.
  • Ensure staffare able toand arecorrectlysubmittingassigned Physician-prescribed medications and medication refills to patients' pharmacies.
  • Ensuretimelyprocess flow for visual fields, Biometry, refractions, optical coherence tomography (OCT), and Topography testing.
  • Ensure all patient information gathered during the exam is accurately reflected inthe ElectronicHealth Record (EHR)by assigned team members.
  • Oversee patient communicationregardingfollow-up care, surgeries, procedures, post-op care, etc., and ensure that communication ispatient-focused.
  • Maintain sanitary use of equipment throughout the care visit for theassigned team.
  • Assistin training, staff developmentplansand performance evaluations.
  • Manage prior authorizations, patient refills, Doctor schedules, and referral correspondence for assigned team.
  • Advisemanagementon functional team staffing in support of the Doctor’s schedules tocomply withall company policies.
  • Support management in the guidance and supervision of clinical staff consistent with the company employee handbook.
  • Deploy companyobjectiveswhere applicable.
  • Enforce HIPAA and OSHA standards along with company-identified best practices in the conduct of care among team members.
  • Other duties as assigned.
QUALIFICATIONS
  • Effective communication within scope of responsibility

  • Must be able to provide proof ofidentity andright to work in the United States
EDUCATION AND/OR EXPERIENCE
  • High School Diploma or GED equivalentrequired
  • 5 years (minimum) leading a clinical team in ophthalmology
LICENSES AND CREDENTIALS
  • CurrentCertified Ophthalmic Assistant (COA)orCertified Ophthalmic Technician(COT)certificationpreferred
SYSTEMS AND TECHNOLOGY
  • Previousexperience with management of PACS or similar systems preferred
  • 5 years of experience using Electronic Medical Record (EMR) and completing medical documentation
PHYSICAL REQUIREMENTS
  • This role requires a variety of physical activities to effectively perform essential job functions. The position involves frequent walking (75%), sitting (50%), and standing (50%), with regular bending, stooping, and reaching (25–50%). Employees must be able to lift, carry, push, and pull items up to 25 lbs. Strong fine motor skills and full use of hands are essential, as the role demands constant grasping, writing/typing, and use of technology. Visual and auditory acuity—including color, depth, peripheral vision, and the ability to adjust focus is required 100% of the time. Occasional driving or climbing may also be necessary.
