Job summary

POSITION TITLE: Senior Health Center Manager - Power Family Health Center

STATUS: Full Time, Exempt

Wage: $83,500 per year

Position Description

Manage the day-to-day operations of the health center, developing highly skilled, high-performing staff. Work in close partnership with the clinician, physician and nursing team, to provide high quality, inclusive, patient-centered care. This leader will fully embody a commitment to race equity; evidenced in all interactions with PPMI colleagues, external stakeholders and in their supervision of staff.

Essential Functions
Leadership
  • Demonstrates a commitment to race equity. Maintains current knowledge of PPMI's work toward enhanced race equity standards, is held accountable to them and holds their team members accountable.
  • Manages and mentors a culturally diverse team creates and sustains an organizational culture that fosters inclusiveness and equity.
  • Manages a health center that is budgeted for more than 6 FTEs to maintain a fully trained staff with the ability to serve patients for a combination of several specialty services (ie. Procedural abortion, colposcopy, vasectomy, moderate (IV) sedation) as wll as Family planning and GAHT services.
  • Partners with Director of Nursing to recruit, train, schedule, and evaluate nursing and support staff; foster a collaborative and high-performing team environment.
  • Manage day-to-day shift oversight of all staff working in the health center.
  • Actively contributes as a member of PPMI's Leadership Team, supporting organizational priorities and decision-making.
  • Leads, develops, and optimizes team members using a performance support process that includes goal setting, routine and in the moment feedback, and ongoing development through intentional observations of staff including clinicians.
  • Optimizes patient movement through the system, decreasing bottlenecks, reducing wait times, and improving care quality.
  • Enables team members to effectively execute responsibilities and manage their functions with accountability and autonomy.
  • Delivers ongoing, observation-based coaching and development feedback, ensuring team practices align with organizational standards, equity principles, and key initiatives.
  • Continuously maintains professional growth and learning by attending conferences, seminars, etc.
  • Establishes and maintains a respectful and inclusive health center environment, cultivating high levels of employee engagement and patient satisfaction.
  • Demonstrates strong emotional intelligence by assessing interpersonal dynamics, effectively managing team interactions, and fostering working relationships.
  • Holds all health center staff accountable to workplace values, professionalism, customer service and service standards.
  • Communicate effectively to present information and direction clearly and respond to questions from patients, other departments and all licensed staff including physicians.
  • Coordinate with all licensed staff, medical assistants, and other departments to optimize patient outcomes and operational performance.
Operations
  • Demonstrated ability to manage multiple priorities and oversee all daily activities within all services provided in health center.
  • In partnership with Clinicians, Quality, Risk & Compliance and Learning & Development teams, plans and oversees the implementation of all necessary standardized new hire and ongoing training specific to the Medical Assistant role including front and back duties, hard skills and patient education.
  • Observes and evaluates staff performance to identify skill gaps and implement targeted training and development initiatives to strengthen team capability.
  • Delegates and has oversight of training for Assistant Health Center Manager.
  • Manages health center to meet or exceed all productivity goals by being able to delineate reports on revenue, net income, patient visit, and quality goals.
  • Ensures compliance with PPMI personnel policies and procedures, Planned Parenthood Federation of America (PPFA) protocol, and legal and regulatory compliance. Reviews, demonstrates and observes staff adapting new and existing policies and procedures with all patients regularly to minimize risk and ensure good patient outcomes and experience.
  • Oversight of sterile practices to include manipulation of instruments and supplies.
  • Maintain functional flow of procedures and ensure staffing alignment.
  • Implements and ensures compliance with all Planned Parenthood and regulatory policies, practices, procedures, and standings in health center operations.
  • Ensures daily tracking of learners working at health centers and sends appropriate documentation to payables for payment to institutions.
  • Ensures that daily administrative procedures are completed correctly, including insurance billing, encounter for auditing, cash handling, time of service collections, consistency of asking for donations and daily deposits.
  • Manages patient complaints or sensitive patient situations in a manner aligned with PPMI's In This Together values.
  • Track key performance indicators (KPIs), patient satisfaction scores, and regulatory compliance metrics; develop action plans for improvement.
  • Ensures that medical equipment is in good working order and that the physical space is clean, safe, and inviting.
  • Regularly conducts patient flow analyses including flow facilitation observation and training, financial and service audits, and evaluates service delivery.
  • Monitors and ensures health centers meet expense goals and operate within budgetary guidelines, including monitoring and managing staffing expenses.
  • Evaluates ongoing patient care and reports significant patient safety concerns, near misses, etc. via incident reporting and collaborates with Compliance, Quality, Risk management on process improvement and training.
  • Ensures staff complete appropriate intake and education pre and post procedure to ensure positive patient outcomes. Monitors satisfaction survey results, reviews findings with team, and makes improvements.
  • Ensures all key components of informed consent is occurring with every patient including limits of confidentiality.
  • Ensures effective and accurate use of the patient management and electronic health records system. Oversees on-site support for EHR system including, updates, supplemental training, workflow changes, documentation standards, best practices, troubleshooting and team engagement with available EHR support ticketing systems.
  • Ensures proper fee assessments, fee collection, and utilization of insurance to maximize revenue.
  • Maintains adequate inventory of supplies intending to minimize inventory variance and reviews expiration of supplies and medications on an ongoing basis.
  • Participate in clinical research conducted by the affiliate if called upon.
  • Conduct OSHA Safety, HIPAA, Emergency, and all other in-service and routine training as needed.
  • Maintain current referrals resources for non-PPMI services within the community.

Required
