Job summary

Monarch Healthcare in Raleigh, NC is seeking a Clinic Administrator to lead daily behavioral health clinic operations, supervise staff, and enhance patient experience. You will partner with clinical and administrative leaders to ensure compliant, efficient workflows and high-quality care.

This role requires strong leadership, scheduling, revenue cycle knowledge, and excellent communication. You’ll optimize processes, manage budgets, and support growth initiatives while maintaining HIPAA

Qualifications

  • Bachelor's degree in a relevant field (Required)
  • Experience in behavioral health or outpatient settings preferred
  • Experience with electronic health record (EHR) systems required

Job Description Summary:

The Clinic Administrator serves as the operational lead for the behavioral health practice and is responsible for overseeing daily clinic operations, staff supervision, patient experience, business functions, and administrative performance. This role partners closely with clinical and operational leadership to ensure efficient workflows, high‑quality patient care, regulatory compliance, and strong employee engagement within the outpatient behavioral health setting.

What You’ll Do:

Operational Leadership
  • Oversee daily operations of the behavioral health practice to ensure efficient workflows and service delivery.

  • Manage front office operations and medical support including scheduling, patient registration, intake, referrals, and call management.

  • Ensure smooth patient flow and timely access to behavioral health services.

  • Develop and implement office procedures and operational best practices.

  • Monitor office performance metrics and identify opportunities for improvement through KPI Dashboard

  • Coordinate facility operations, maintenance, and vendor relationships.

  • Schedule and hold monthly clinic operations meetings

Staff Leadership & Supervision
  • Directly supervise administrative and support staff including front desk personnel, office coordinators, schedulers, and medical support staff.

  • Assist with recruitment, interviewing, onboarding, training, coaching, and performance management.

  • Foster a positive, collaborative, and accountable workplace culture.

  • Coordinate staff scheduling and ensure appropriate office coverage, and fill in for support staff when unavailable

  • Support employee engagement and retention initiatives.

Financial & Business Operations
  • Monitor budgets, office expenses, and operational productivity.

  • Collaborate with other Monarch departments to support revenue cycle processes including insurance verification, authorizations, billing coordination, and collections

  • Review operational and financial reports to ensure performance targets are met.

  • Assist leadership with strategic planning, growth initiatives, and operational forecasting.

  • Support provider scheduling optimization and patient access initiatives.

  • Ensure charts are accurate with correct information such as location, provider, insurance, and demographic information and audit for compliance regularly.

  • May be asked to support operations at locations outside of the primary worksite as needed to meet business and patient care needs.

  • May be required to work beyond regularly scheduled hours, including after 5:00 p.m., as needed to support patient care and clinic operations.

Patient Experience & Customer Service
  • Ensure delivery of exceptional customer service to patients and families.

  • Address patient complaints and service recovery concerns professionally and promptly.

  • Promote a welcoming, trauma‑informed, and culturally responsive environment.

  • Maintain high standards for patient satisfaction and engagement.

  • Fill in for any gaps in office coverage as needed.

  • Collect basic vitals and complete UDS in absence of nursing staff as needed

  • Ensure and maintain a clean, organized facility

Compliance & Quality Management
  • Ensure compliance with HIPAA, OSHA, state regulations, payer requirements, and organizational policies.

  • Maintain readiness for audits, accreditation reviews, and site inspections.

  • Ensure accurate administrative documentation and records management.

  • Support quality improvement initiatives and risk management activities.

Collaboration & Communication
  • Serve as liaison between operational leadership, clinical providers, departments, and administrative staff.

  • Participate in leadership meetings and organizational initiatives.

  • Communicate operational updates, challenges, and successes to leadership.

  • Communicate organizational messages and updates to team members.

  • Collaborate with clinical leadership to improve workflows and patient outcomes.
