Responsibilities

  • Demonstrates a pleasant, professional demeanor while greeting employees and visitors; assists by answering questions and directing calls.
  • Prepares Excel spreadsheets and enters data; generates reports from information systems.
  • Creates visits in the EHR to ensure documentation and revenue generation; ensures scheduling, registration, documentation, and charge orders are completed.
  • Manages department scheduling and clinic/provider schedules in the EHR.
  • Performs outreach calls for public health and vaccination services and follows up with those who miss visits.
  • Inputs data from various sources into the EHR to maintain accurate public health records.
  • Serves as the department's EHR super user and facilitates training on health information systems.
  • Completes assigned projects independently and coordinates with staff to resolve issues.
  • Retrieves patient data and maintains Health Information Exchange access; coordinates staff and volunteer schedules.
  • Maintains organized records and assists in monitoring projects and procurement.
  • Assists greeters to ensure proper screening and directs patients appropriately.

Overview
POSITION SUMMARY

The incumbent serves as a Client Services Technician for Tuba City Regional Health Care Corporation (TCRHCC) Public Health Department. The incumbent will serve as a resource and support to the Public Health Director, community health workers, and Public Health clinicians. While following established department protocols, responsibilities include answering patient questions to connect them to those who can help, and scheduling patient visits associated with public health care. Incumbent is responsible for data integrity to ensure third party reimbursement for public health services provided. This position requires the ability to work under conditions of frequent interruptions and willingness to work a flexible schedule.

Qualifications
NECESSARY QUALIFICATIONS
Education

Must have a high school diploma or GED

Experience

One (1) year experience working in a fast-paced office environment

Certification

Must maintain a current valid certification of the following throughout employment:

  • Basic Life Support (BLS) from the American Heart Association, If none, must obtain within 6 months of hire.

MENTAL AND PHYSICAL EFFORT
Physical

Position involves prolonged periods of sitting, frequent standing and walking and occasional driving, bending, climbing, kneeling, crouching, twisting, maintain balance and reaching. Must have the following sensory requirements: prolonged near vision, hearing normal speech and telephone use, frequent far vision, color vision and hearing overhead pages and occasional depth perception and seeing fine details. May occasionally be required to lift, push and pull up to 50lbs of equipment or items. Must have ability of simple/firm grasping and use of keyboards.

Mental

Must be able to prioritize and use good judgment. Must be able to coordinate a variety of issues with intermittent interruptions. The position requires experience and judgment to plan and accomplish goals. It requires the ability to handle multiple assignments balance priorities and make sound decisions. Responsibilities
ESSENTIAL FUNCTIONS
  • Demonstrates a pleasant, professional demeanor while greeting employees and visitors. Assists employees, patients, and visitors by answering questions in a knowledgeable manner and resolving inquiries. Directs calls appropriately.
  • Prepares Excel spreadsheets to track and maintain various data. Prepares reports and enters data through various informational software systems.
  • Creates telehealth, community health worker, and other public health visits in EHR to ensure documentation and revenue generation. Ensures completion of scheduling, registration, documentation, and charge orders and SuperBills for all created visits. Ensures that revenue is maximized for all public health and community health worker services.
  • Manages specific scheduling guidelines and creates provider clinic schedules in the EHR.
  • Makes reminder calls for public health and vaccination services. Makes calls to those that have missed scheduled services, such as vaccination. Provides outreach to community members regarding essential public health services.
  • Inputs data obtained from ASIIS, IHS data transfer, and patient contact into EHR to ensure accurate public health records for individuals. Corrects data errors and missing data as it relates to public health services. When input issues are identified, notifies clinical and support staff of corrective action needed and monitors results and follow-through.
  • Serves as the department’s electronic health record (EHR) super user and works with software systems for clinical, medical, dental, laboratory, pharmacy and other healthcare office systems and provides training and orientation for new team members. Participate in meetings regarding planning, development, processes to improve workflows, patient flows, billing, etc.
  • Completes assigned special projects independently by analyzing, researching, troubleshooting, and resolving issues as they arise
  • Coordinates retrieving patient data from automated systems and the EHR. Oversees department access to the Health Information Exchange (HIE) and retrieves pertinent health care information.
  • Coordinates staff and volunteer schedules. Manages assignment of lab results and related calls per defined procedures.
  • Stays informed of various clinical and hospital services, including appointment systems and points of contact, to avoid unnecessary delay and confusion for patients.
  • Establishes and maintains all department records and documents in an organized system such that all documents are easily retrievable.
  • Compiles reports and public health statistics in collaboration with Public Health Director.
  • Sorts and distributes mail. Receives incoming correspondence and routes material to appropriate person.
  • Assists in monitoring and tracking projects and supplies. Orders department requisitions, orders, and/or invoices into procurement system for timely processing, works closely with accounts payable and purchasing agents on resolving issues.
  • Assists the Greeters at various entry points to ensure appropriate screening for all patients and visitors entering the TCRHCC campus.
  • Performs other duties as assigned.
