Job summary

Chevy Chase Trust is seeking a Client Services Team Assistant to support the Client Service Team in daily operations, ensuring seamless service delivery for clients. You will coordinate client communications and maintain high standards of efficiency, accuracy and client satisfaction.

Based in the Bethesda area, this role focuses on supporting scheduling, reports, and account documentation while maintaining strong office operations.

Qualifications

  • Bachelor’s Degree or equivalent work experience.
  • 1-2 years of experience in client services.

Responsibilities

  • Deliver exceptional service by communicating clearly with clients and internal team members to resolve issues.
  • Respond promptly to client requests and inquiries, resolving issues with a client-first approach.
  • Handle client calls and resolve questions, transactions and service requests with professionalism and precision.
  • Monitor and follow-up with Client Service staff on recurring tasks to ensure compliance and efficiency.
  • Distribute and track weekly and monthly reports, following up on items requiring action.
  • Maintain organized electronic account files including trust account documentation and correspondence.
  • Utilize internal CRM platform and trust accounting system to complete account maintenance and reporting.
  • Support Team Leaders with scheduling, agenda preparation, meeting notes, and follow-up on action items.
  • Manage client letters, check processing, distributions, and account documentation.
  • Oversee daily sorting and distribution of mail, scan and post checks accurately.
  • Coordinate with external vendors to ensure timely service delivery.
  • Prepare presentation materials for client meetings.
  • Maintain office supplies and organized client services area.
  • Serve as back-up to Client Service Associates to ensure continuity.
  • Other duties and special projects as assigned.

Job Purpose/Summary

The Client Services Team Assistant supports the Client Service Team in all aspects of daily operations to ensure seamless delivery of service to clients. The Client Services Team Assistant plays a vital role in providing operational support to include, coordinating client communications, and maintaining high standards of efficiency, accuracy and client satisfaction.

Responsibilities

  • Distribute and track weekly and monthly reports, following up on items requiring action.
  • Maintain organized and accurate electronic account files including trust account documentation and correspondence to ensure consistency and compliance with policies.
  • Utilize internal CRM platform and trust accounting system to complete account maintenance, report generation and document management.
  • Support Team Leaders and Chief Client Service Officer with scheduling, agenda preparation, meeting notes, and follow‑up on action items.
  • Manage operational tasks to include client letters, check processing, class action distributions, and account documentation.
  • Oversee the daily sorting and distribution of incoming mail, ensuring timely delivery to appropriate team members. Scan and post incoming checks accurately and promptly.
  • Coordinate with external vendors to ensure efficient and timely service delivery.
  • Prepare presentation materials, pitchbooks and supporting documentation for client meetings.
  • Maintain office supplies and ensure the client services area is organized and fully stocked.
  • Serve as a back‑up to Client Service Associates to ensure continuity of service.
  • Other duties and special projects as assigned.
Qualifications
  • Bachelor’s Degree or equivalent work experience
  • 1-2 years of experience in client services
Work Environment
  • This position is based in an office environment with prolonged periods of sitting at a desk and working on a computer.
  • This position does not require travel.

Compensation Details

The actual base pay offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, years of relevant experience, distinctive skills, level of education attained, certifications or other professional licenses held. Base pay is one component of Chevy Chase Trust's total compensation package, which also includes access to or eligibility for healthcare benefits, a 401(k) plan, short-term and long-term disability coverage, basic life insurance, bonus plans and more.
