Job summary

The American Heart Association is seeking a Client Services Representative, Global, to support administration, coordination, and compliance of Global Training Center relationships. You will work with internal teams, regional stakeholders, and external contacts to manage agreement workflows, keep records accurate, and ensure platform access remains controlled and compliant.

Responsibilities include handling legal review stages, maintaining CRM records, and supporting international teams.

Qualifications

  • High School Diploma or equivalent; Associate degree preferred.
  • 3 years of relevant experience.
  • Strong organizational skills to manage multiple workflows and deadlines.
  • Excellent written and verbal communication with internal teams and external partners.
  • High attention to detail for agreements, records, access, and retention documents.
  • Ability to collaborate cross-functionally across legal, compliance, quality, regional, and operations teams.
  • Knowledge of CRM systems and accurate data maintenance.
  • Professional judgment and discretion with sensitive information.
  • Proficiency with MS Word, Excel, Outlook, and SharePoint or similar tools.

The Client Services Representative, Global, supports the administration, coordination, and compliance of Global Training Center relationships. This role partners with internal teams, regional stakeholders, and external contacts to facilitate agreement workflows, maintain accurate account and contact records, support platform access, and ensure required documentation is properly tracked and retained. The position requires attention to detail, strong follow-through, and the ability to manage multiple operational priorities in support of Global program quality and compliance.

Responsibilities
  • Collaborate cross-functionally with internal and external stakeholders to support the timely completion of Training Center Agreement workflows.
  • Manage the legal review stage of Training Center Agreement workflows for assigned accounts, including drafting, distributing, tracking, and coordinating the return of agreements and related legal documents.
  • Maintain accurate and complete Training Center account and contact records in the customer relationship management system.
  • Manage Training Center Coordinator access to customer-facing platforms and assigned Security ID numbers through accurate CRM maintenance.
  • Maintain legal documents and agreements in the legal database in accordance with current American Heart Association retention guidelines.
  • Assist with the review, tracking, and retention of domestic U.S. insurance documents.
  • Provide administrative and operational support to international regional teams as needed.
  • Perform additional legal, compliance, and quality-related tasks as assigned.
  • Participate in special projects and process-improvement initiatives as assigned.

  • Working knowledge of customer relationship management systems and the ability to maintain accurate account and contact data.
  • Familiarity with document management, records retention practices, and legal or compliance-related documentation.
  • Professional judgment and discretion when handling legal documents, customer information, and compliance-related materials.
  • Adaptability and problem-solving skills to support special projects, process-improvement initiatives, and changing operational needs.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and SharePoint or similar collaboration tools.
Preferred Experience
  • Minimum of (3) years of experience in:
    • Providing administrative, customer service, contract, legal, compliance, or operations support in a professional business environment.
    • Coordinating workflows that require follow-up with multiple stakeholders.
  • Experience maintaining records in a CRM, database, SharePoint site, or similar system of record. Experience in Microsoft Dynamics and Salesforce preferred.
  • Experience supporting document review, routing, tracking, retention, or contract-related processes.
  • Experience working with international teams, regional stakeholders, or global business operations.
  • Experience handling sensitive or compliance-related information with accuracy and confidentiality.
Compensation & Benefits

The expected pay range will be $55,000- $60,000. Pay is commensurate with experience; geographic differentials to the pay range may apply. The American Heart Association reserves the right to pay more or less than the posted range.
