Job summary

Community Medical Services is looking for a Client Services Coordinator in Tinley Park, IL. Qualifications

Description

Community Medical Services (CMS) is seeking a Client Services Coordinator to be the welcoming face of our clinic. Under the supervision of the Clinic Manager, you will greet clients and visitors with professionalism, compassion, and a trauma-informed approach. You’ll play a key role in coordinating client care, including scheduling appointments, assisting with walk-in intakes, and addressing client concerns.

Schedule and Locations

Schedule: Tuesdays and Thursdays 9:00 am – 5:00 pm and Wednesdays 8:00 am – 4:00 pm. Locations: Olympia Fields – 19900 Governors Drive, Lower Level 14, Olympia Fields, IL 60461; North Aurora – 161 S. Lincoln Way, North Aurora, IL 60542.

We’re Looking For Someone Who

  • Remains friendly, helpful, and courteous when interacting with clients, including those who are chemically dependent
Responsibilities
  • Greets and attends to clients in person and over the phone
  • Answers all phone calls in a professional and courteous manner
  • Manages the patient flow of a high volume of clients in a fast-paced environment
  • May place outbound calls to schedule follow-up appointments or to engage clients in treatment
  • Creates new client profiles and enters demographic information in the electronic health record (EHR)
  • Schedules appointments using the electronic scheduling system
  • Completes accurate documentation of client visits in the EHR
  • Maintains a welcoming lobby and reception area by ensuring spaces remain clean and organized
  • Coordinates intakes on a walk-in basis, assists with completion of required documentation and scheduling with providers and counselors to complete intake
  • Verifies insurance eligibility and sets up billing in the EHR
  • Establishes client payment plans and financial contracts, and posts payments
  • Ensures confidentiality of all client and employee information
  • Assists in de-escalation of clients using a trauma-informed approach
  • Triages client issues to secure the most appropriate solution
  • Introduces clients to the Recovery Connect engagement app and assists navigation as needed
  • Completes end-of-day tasks, including reconciling deposits and payment records
  • Verifies cash in the cash box at the start of shift and reconciles cash count at end of day
  • Uses incident reporting procedures for unsafe or problematic incidents involving clients or staff
  • Participates in in-service/education regarding Quality Improvement or required job-focused education
  • Helps maintain inventory and assist in ordering clinic supplies
  • Performs general office duties (document preparation, scanning, faxing, etc.)
Requirements
  • High School Diploma/GED
  • 1+ year of experience in customer service
  • 1+ year of front desk experience, preferably at a hospital front desk or multi-physician practice
  • Hospital front desk or multi-physician front desk experience preferred
  • Motor Vehicle Record (MVR) clearance and a valid driver’s license; travel may be required depending on location
