Job summary

Moran Wealth Management LLC is seeking a Client Service Specialist to maintain strong client relationships and ensure exceptional service. The role supports operations and relationship managers, handling inquiries, processing client transactions, and maintaining compliance across duties in an in-person setting.

Ideal candidates will have a Bachelor’s degree in a finance-related field, 2+ years in client service or operations, and familiarity with CRM and Excel.

Qualifications

  • Bachelor’s degree in Finance, Economics, Business or related field.
  • FINRA Series 65 or progress toward certification preferred.
  • Minimum 2 years in customer service, client management, or operations.

Responsibilities

  • Support operations during absences or high workload with accuracy and efficiency.
  • Communicate with clients to address inquiries, provide updates, and resolve issues.
  • Resolve client concerns in a timely manner per procedures.
  • Process client transactions (trades, transfers, asset movements, address changes).
  • Maintain records of client communications and resolutions; provide feedback for improvement.
  • Ensure compliance with regulatory requirements and audits.

Description

As a Client Service Specialist, you will be instrumental in maintaining strong client relationships and ensuring the delivery of exceptional service. Your primary responsibilities will include managing complex client inquiries and providing direct support to guarantee client satisfaction and retention. You will serve as a backup for the operations team, ensuring continuity of service and operational efficiency, and will assist relationship managers by handling client interactions, addressing inquiries, and ensuring strong client satisfaction. This role requires flexibility, strong communication skills, and the ability to manage multiple tasks across operations and client-facing responsibilities. This role is an in-person position.

Primary Responsibilities
  • Provide support to the operations team during periods of absence or high workload, ensuring that all operations-related tasks are completed accurately and efficiently.
  • Assist relationship managers by communicating directly with clients to address inquiries, provide updates, and resolve any issues they may encounter.
  • Help resolve client concerns in a timely manner, ensuring that solutions are aligned with client expectations and operational procedures.
  • Assist with processing a variety of client transactions, including trades, transfers, asset movements, address changes, etc. ensuring timely execution and compliance with regulatory guidelines.
  • Maintain accurate records of client communications, issues, and resolutions. Provide feedback to the operations and relationship management teams to improve service delivery
  • Ensure all operational and client service activities comply with regulatory requirements and adhere to all audit and compliance procedures.
  • Identify opportunities for improvements in both operational workflows and client service, suggesting solutions to enhance efficiency and client satisfaction.
  • Provide exceptional service by responding to inquiries, conducting research, resolving issues, and offering support for operational and client-facing teams.
  • Collaborate with financial advisors, relationship managers and other client service team members to ensure client needs are met without delay.
  • Actively engage in firm initiatives led by local management and attend client facing events or functions as needed.
  • Participate in training and educational development programs to remain current on policies, procedures, risk management, and technology.
  • Utilize CRM tools and other financial technology platforms to facilitate and document work.

Requirements
Qualifications & Experience
  • Bachelor’s degree in Finance, Economics, Business, or a related field.
  • Preferred certifications: FINRA Series 65 or progress toward obtaining this or a related designation.
  • Minimum of 2 years of experience in customer service, client management, or operations, with a proven ability to handle escalated issues.
  • Strong analytical skills with attention to detail.
  • Excellent interpersonal and communication skills with an ability to manage both internal and external relationships effectively.
  • Capable of working both independently and collaboratively as part of a team.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to handle sensitive information with confidentiality and integrity.
  • Flexibility to switch between operational support and client-facing responsibilities based on the needs of the business.
  • Experience working within an RIA or fee-based advisory firm is a plus.
  • Proficiency in financial software tools (e.g. Microsoft Excel, Financial technology platforms, CRM Platforms).
