Hayes Powers & Associates LLC is seeking a Client Service Specialist to act as a key liaison between clients, advisors, team members, and the home office. This role owns client service needs and follows up to ensure actions move from identification to completion.

The ideal candidate is highly organized, communicates clearly with clients, and coordinates multiple priorities across a team, supporting advisors and maintaining accurate client records in the CRM.

Responsibilities

• Own meeting follow-up: Manage client action items from advisor meetings through final completion.
• Coordinate client service: Prepare and process paperwork, communicate with clients and home office, resolve service-related needs.
• Manage team workflow: Assign and track tasks across the team related to trades, service requests, and advisor follow-up.
• Serve as a client liaison: Communicate updates, gather information, answer questions, ensure timely follow-through.
• Support advisors: Return client calls when advisors are unavailable and route questions to the right team member.
• Manage scheduling: Assist with the client calendar and meeting coordination.
• Drive items to completion: Monitor outstanding requests and proactively follow up.
• Maintain client records: Document activity and relevant client information in the CRM.
