Responsibilities

  • Perform bill intake, validation, processing, and quality control.
  • Follow authentication and verification requirements, including callbacks.
  • Manage and triage the Concierge Bill mailbox to meet SLAs.
  • Coordinate with Relationship Managers to resolve exceptions.
  • Maintain records and support audit readiness and control compliance.
  • Support client and vendor onboarding activities and ensure compliance.
  • Process money movement transactions (wires, ACH, transfers, checks).
  • Communicate proactively with internal stakeholders and escalate issues.

Role Summary

The Client Service Consultant (CSC) supports the Concierge Bill service within NCSS Money Movement, performing end‑to‑end bill management activities in a controlled, manual environment. The role involves bill intake, validation, processing, and quality control while adhering to Wealth Management policies, authentication requirements, and segregation‑of‑duties controls.

Key Responsibilities
  • Perform bill intake, validation, processing, and quality control in accordance with established procedures.
  • Follow Wealth Management Authentication and Verification Requirements, including performing client and partner callbacks as needed.
  • Manage and triage the Concierge Bill mailbox, ensuring timely responses and SLA adherence.
  • Coordinate with Relationship Managers and internal partners to resolve exceptions and obtain required documentation.
  • Maintain accurate records and workflow updates to support audit readiness and control compliance.
  • Support client and vendor onboarding activities with appropriate review and validation.
  • Process money movement transactions, including wires, ACH, transfers, recurring instructions, and check requests.
  • Ensure all transactions comply with authentication and operational standards.
  • Meet established service level agreements (SLAs) with a high degree of accuracy and minimal errors.
  • Communicate proactively with internal stakeholders and elevate issues as needed.
  • Collaborate effectively with team members and support broader NCSS initiatives.
  • Demonstrate accountability, professionalism, and reliability.
  • Provide coverage and support across roles as needed.
  • Contribute to a culture of quality, ownership, and continuous improvement.
Qualifications
  • 2‑5+ years of experience in financial and/or client servicing.
  • Knowledge of investment, banking, or personal trust and advisory operations, products, and services preferred.
  • Strong analytical, problem‑solving, and organizational skills to research and resolve requests.
  • Strong attention to detail and ability to manage manual, multi‑step processes.
  • Proficiency with systems such as Wealth Passport, Outlook, Adobe, Excel, Word, and DocuSign.
  • Ability to work independently while maintaining control and compliance standards.
  • Strong communication skills, including ability to perform client verification callbacks.
  • Ability to prioritize workload and manage competing deadlines in a fast‑paced environment.
