Client Service Assistant

Role Type: Full-time

Salary: $40,000 - $55,000 per year + annual performance-based bonus

Summary

The Client Service Assistant provides comprehensive support to clients, advisors, and firm leadership by combining client service, administrative assistance, and financial planning support. This role helps deliver an exceptional client experience, coordinates advisor activities, and supports financial planning initiatives.

Responsibilities
Client Service & Operations
  • Serve as a primary point of contact for client service requests and inquiries, providing responsive and professional support via phone, email, and in person.
  • Support client onboarding and ongoing account servicing, including account setup, transfers, beneficiary changes, documentation, and routine service requests.
  • Build strong client relationships through consistent communication, timely follow-up, issue resolution, and appropriate escalation.
  • Prepare client meeting materials, coordinate scheduling and logistics, and support post-meeting follow-through.
  • Provide administrative and operational support to advisors across client service, financial planning, investment and insurance processing, and daily business activities.
  • Review and process client documentation for completeness, accuracy, and compliance with firm and regulatory requirements.
  • Track client workflows, service requests, deadlines, and outstanding items to ensure timely completion.
  • Maintain accurate client records and data across CRM, custodial, recordkeeping, and firm systems to support service, reporting, and audit readiness.
  • Coordinate with custodians, product partners, and internal teams to support efficient service delivery and operational follow-through.
Advisor Administrative Support
  • Manage advisor calendars, including client meetings, travel, conference registrations, and event logistics.
  • Prepare correspondence, reports, meeting files, notes, and other advisor or executive communications.
  • Track and follow up on meeting action items and administrative deliverables.
  • Assist with client appreciation events and other firm-sponsored activities.
  • Handle confidential and sensitive information with professionalism and discretion.
Paraplanning & Financial Planning Support
  • Assist advisors in gathering, organizing, reviewing, and maintaining client financial data.
  • Support the preparation of financial plans, retirement projections, investment analyses, cash flow reviews, insurance evaluations, reports, illustrations, and client presentation materials.
  • Conduct research related to financial planning strategies, investment solutions, retirement planning, and risk management.
  • Assist with implementation, follow-up, and tracking of planning recommendations and related action items.
  • Review client information to identify missing data, planning considerations, and service opportunities.
  • Support client review meeting preparation by updating financial planning information, account summaries, and planning recommendations.
  • Maintain documentation related to financial plans and recommendations in accordance with compliance and recordkeeping requirements.
Education Requirements
  • Bachelor’s degree preferred, high school diploma (or equivalent) in combination with significant practical experience will be considered in lieu of degree. Minimum of high school diploma or equivalent is required.
Basic Requirements
  • 3+ years of experience in the financial services industry, preferably in a client service, operations, executive support, paraplanning, or wealth management support role.
  • Strong customer-centric mentality with a commitment to delivering exceptional client experiences.
  • Excellent verbal and written communication skills.
  • Proven organizational and time-management skills with the ability to manage multiple priorities and deadlines.
  • Strong problem-solving abilities with sound judgment for resolving client issues and escalating when appropriate.
  • High attention to detail and commitment to accuracy.
  • Proficiency with CRM systems, financial planning software, document management systems, video meeting tools, and Microsoft Office or equivalent.
