Job summary

North Dallas Bank & Trust Co. is seeking a Client Service Coordinator to support the Client Service Team across personal trusts, estates, employee benefits plans/IRAs, and investment accounts. You will greet customers by name and ensure compliance with bank policies while delivering outstanding service.

Your role involves opening new accounts, handling correspondence, supporting RMs, and coordinating discretionary distributions and tax information. Strong communication and accuracy are essential.

Qualifications

  • Bachelor’s degree from an accredited college or university preferred, plus at least 3 years of related experience in the financial services industry; or equivalent combination of education and experience.
  • Excellent verbal, written, and interpersonal communication skills.
  • Superior customer service skills, extremely organized, and detailed-oriented with a high degree of accuracy.
  • Proficient in Microsoft Office products, including Word, Excel, and Outlook.
  • Ability to read, analyze, and interpret estate planning documents, general business periodicals, professional journals, or governmental regulations.
  • Ability to write reports and business correspondence.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Some travel between branches may be required.

Responsibilities

  • Develops and maintains close relationships with the clients of TWM and a thorough knowledge of account ownership and account types.
  • Opens new accounts and ensures proper account documentation has been obtained adhering to Bank policies and procedures.
  • Performs administrative duties such as handling correspondence, file maintenance, distribution processing, and monitoring transaction activity.
  • Responds to customer inquiries and service requests, providing prompt and accurate resolution of problems; refers complex issues to the account officer.
  • Provides sales support for Business Development Officers.
  • Prepares and sends annual discretionary distribution packets and tracks distributions for reporting.
  • Distributes client communication regarding RMDs and tracks IRA & E.B Plan distributions and RMD.
  • Assists tax team with processing and distributing necessary tax information for all account types.
  • Exceeds customer expectations and ensures CST delivers outstanding service levels.
  • Assists with account reviews and Letters of Understanding preparation.
  • Maintains relationships with the Client Service Team and informs supervisor as needed.

Overview

Provide support to the Client Service Team in all areas including personal trusts and estates, employee benefits plans/IRAs, and investment management accounts.

Responsibilities

Must have the ability to actively and quickly determine client needs and execute general service duties including but not limited to:

  • Develops and maintains close relationships with the clients of TWM and a thorough knowledge of account ownership and account types. Actively participates in greeting customers by name, and adherence to customer service standards as outlined by North Dallas Bank & Trust Co.
  • Opens new accounts and ensures proper account documentation has been obtained adhering to Bank policies and procedures.
  • Performs administrative duties which may include: handling various types of written and verbal correspondence with clients, file maintenance and documentation, distribution processing, and monitoring transaction activity.
  • Performs tasks assigned by RMs and prioritizes and manages those tasks based on deadlines.
  • Responds to all customer inquiries and service requests, providing prompt and accurate resolution of problems/issues in a timely manner; referring complex issues to the account officer.
  • Provides sales support for Business Development Officers.
  • Prepares and sends out annual discretionary distribution packets to clients and tracks discretionary distributions for account documentation and Trust Committee reporting.
  • Distributes client communication regarding RMDs and tracks IRA & E.B Plan distributions and RMD.
  • Assist tax team with processing and distributing necessary tax information related to all account types handled by TWM.
  • Exceeds customer expectations and ensures CST delivers outstanding service levels with every customer interaction.
  • Assist Client Service Team with preparation of account reviews and Letters of Understanding.
  • Establishes and maintains relationships with the Client Service Team. Informing the CST Team Leader of any circumstances that requires supervisory attention/review/approval per compliance guidelines and policies.
  • Assists with coordinating department events, activities and/or seminars.
  • Lives the Bank's Mission Statement and supports the Bank's Corporate Strategy.
  • Provides a customer experience, as defined by North Dallas Bank & Trust Co., that is consistent across all customer touch points with intentional focus on customer satisfaction, loyalty, and retention that provides a differentiated experience from other financial institutions in the market place.
  • Cross sells all Bank products and services; refers customers and prospects to the appropriate department.
  • Other duties as assigned.

  • To perform this job successfully, an individual should have knowledge of Contact Management systems; Database software; Internet software; Spreadsheet software and Word Processing software.
  • Some travel between branches may be required.
