As we continue to expand, we are looking for a highly organised, energetic and people-focused Client Pathways & Marketing Officer to join our team.

About the Role

The Client Pathways & Marketing Officer acts as the front door to our organisation.

You will play an important role ensuring enquiries, referrals and community stakeholders receive a professional, responsive and welcoming experience.

Working closely with the Advocacy & Outreach Lead, you will assist with referral management, client onboarding coordination, marketing activities, community engagement initiatives and stakeholder communications.

Every day will be different and may include speaking with participants and families, coordinating community events, maintaining referral pipelines, updating marketing materials, supporting outreach campaigns and tracking client journeys from enquiry through to service commencement.

Key Responsibilities
Client Pathways & Referrals
  • Manage incoming enquiries and referrals.
  • Monitor referral and enquiries inboxes.
  • Create and maintain referral records.
  • Coordinate intake appointments and follow-up activities.
  • Maintain waitlists and referral registers.
  • Track referral progress and service commencement pathways.
  • Liaise with clients, families, carers and referrers.
  • Escalate complex matters to the Advocacy & Outreach Lead.
Marketing & Communications
  • Assist with social media and digital communications.
  • Coordinate newsletters and marketing campaigns.
  • Maintain marketing calendars and activity schedules.
  • Support website content updates.
  • Assist with development of brochures and promotional materials.
  • Monitor marketing enquiries and lead tracking.
Community Engagement
  • Coordinate community events, expos and information sessions.
  • Support stakeholder meetings and partnership activities.
  • Prepare event materials and registrations.
  • Maintain community engagement databases.
  • Build positive relationships with community stakeholders.
CRM & Reporting
  • Maintain enquiry, referral and stakeholder databases.
  • Track referral sources and lead generation activities.
  • Produce monthly activity and pipeline reports.
  • Monitor referral conversion outcomes.
  • Support data collection and reporting activities.
Administrative Support
  • Prepare onboarding and information packs.
  • Coordinate client communications.
  • Maintain accurate records and documentation.
  • Support general administration activities across the Advocacy & Outreach portfolio.
About You

You are someone who genuinely enjoys helping people and taking ownership of processes.

You are organised, proactive, professional and comfortable juggling multiple priorities while maintaining excellent attention to detail.

Essential Skills & Experience
  • Experience in administration, customer service, community engagement, marketing or client services.
  • Strong written and verbal communication skills.
  • Excellent organisational and time management skills.
  • High attention to detail.
  • Strong Microsoft Office skills.
  • Confidence using databases, CRMs or client management systems.
  • Ability to build positive relationships with a diverse range of stakeholders.
  • Professional and solution-focused approach.
Desirable
  • Experience within disability, allied health, education, community services or employment services.
  • Understanding of the NDIS environment.
  • Experience managing social media or marketing activities.
  • Event coordination experience.
  • CRM or client management system experience.
