Client Intake and Sales Specialist Role
The Client Intake & Sales Specialist is responsible for managing prospective clients from their initial inquiry through engagement and onboarding. This role combines client intake, consultative sales, follow-up, and relationship management. You will serve as the first point of contact for prospective clients, ask the appropriate questions to understand their needs, determine whether the firm offers the appropriate service, and guide qualified clients through the engagement process.
- Own and manage incoming leads from initial contact through engagement
- Conduct consultative B2C sales conversations with prospective clients
- Follow established intake questions, processes, and SOPs to properly qualify prospective clients
- Identify client needs and determine whether they align with services offered by the firm
- Clearly explain available services, pricing, scope, and next steps
- Generate and send engagement agreements through the firm’s CRM system
- Assist prospective clients with payment processing and available financing options
- Follow up with prospective clients who do not immediately move forward
- Recognize when additional guidance is needed and appropriately raise questions rather than providing legal advice
Onboarding & Case Setup
- Accurately document client information, conversations, and activities within the CRM
- Confirm receipt of signed engagement agreements and required payments
- Send new client intake documentation
- Review completed intake information and coordinate the client’s initial meeting with the legal team
- Complete intake workflows and assist with opening new matters
- Coordinate with internal teams to ensure timely transition from sales and intake to the legal team
- Maintain accurate documentation throughout the intake and onboarding process
Client Experience & Follow-Up
- Provide an empathetic, professional experience to individuals who may be navigating sensitive or difficult circumstances
- Balance empathy with the ability to maintain professional boundaries and follow firm processes
- Re-engage prospective clients who did not initially move forward
- Maintain relationships with past and prospective clients
- Address client concerns professionally and appropriately
- Respond professionally to reviews and feedback
- Communicate clearly when additional information is needed before moving a prospective client forward
Administrative Support
- Maintain accurate and timely records of client communications and sales activity
- Follow established SOPs and structured workflows
- Participate in regular team check-ins and utilize available resources when questions arise
- Manage payment plans and assist with outstanding balances
- Provide feedback regarding recurring client questions, lead quality, and opportunities to improve the intake process
- Meet established sales and intake performance expectations
Client Intake & Sales Specialist Background Profile
- High school diploma or equivalent
- Minimum 2 years of experience in sales, client intake, customer-facing sales, or a similar client-facing position
- B2C sales experience strongly preferred
- Consultative sales experience with the ability to ask qualifying questions and guide clients through a decision-making process
- Strong verbal and written communication skills
- Ability to follow established SOPs, instructions, and structured workflows
- Strong judgment and willingness to ask questions or expand when additional information is needed
- Coachable, dependable, and receptive to feedback
- Ability to work within established processes without overstepping the scope of the position
- Comfortable working with clients who may be dealing with sensitive or emotional circumstances
- Ability to document conversations and activities accurately within a CRM
- Strong follow-up and organizational skills
- Preferred: Experience within a law firm or professional services environment
- Probate and/or estate planning exposure
