Job summary

EPIC Insurance Brokers & Consultants is seeking a Client Coordinator to support the Employee Benefits practice. The role collaborates with the Client Executive and Manager to maintain client benefit programs and service daily account needs.

You will assist in meetings, prepare materials, process BORs, and help with reports and open enrollment. Strong organization and communication are essential to succeed in a fast-paced, remote environment.

Qualifications

• General knowledge of employee benefits and related services.
• Proficiency with Microsoft Office suite and basic data handling.
• Strong attention to detail and ability to manage multiple tasks.

Responsibilities

• Assist in client meetings with agendas, reporting and presentations.
• Process BORs, update internal systems and client portals, and prepare invoices.
• Contribute to reports such as 5500 filings and audits.
• Provide open enrollment support with communications and health fairs.
• Resolve client and employee issues on billing and claims.
• Build relationships and collaborate effectively with teams.
• Set priorities with CE/CM and manage workflow to meet goals.
• Maintain workflow logs and update benefits information in systems.
• Stay informed on industry developments to improve performance.
• Ensure timely and accurate servicing of client accounts.

LOCATION:

This position is 100% remote, with a preference for candidates located in or near Seattle, WA.

JOB OVERVIEW:

The Employee Benefits Client Coordinator (CC) works with the Client Executive (CE) and/or Client Manager (CM) to assist with the maintenance of a client's employee benefits program and the day-to-day service of the account.

WHAT YOU'LL DO:

• Client Management
• Assist in preparing materials for client meetings, including agendas, reporting, and presentations
• Process BORs, update internal systems, update client portals, and prepare invoices
• Contribute to completion of reports such as 5500 filings, audits, benchmarking, experience and financial analytic reports, and other data as needed to assist in servicing the client
• Provide open enrollment support with communication materials, onsite and virtual meetings and health fairs
• Assist with the resolution of client and employee issues regarding bill discrepancies, claims issues, etc.
• Build relationships and collaborate effectively
• Personal and Organizational Development
  Work with CE and/or CM to set priorities and manage workflow to ensure goals are met
• Maintain up-to-date workflow logs, and update benefits information on agency management systems, manuals or other required documentation and records
• Be responsive and interact with others effectively utilizing communication skills, cooperating purposefully, and providing information and guidance as needed to achieve business goals
• Stay informed regarding industry information, new product/program developments, coverages, legislation, and technology to continuously improve knowledge and performance

WHAT YOU'LL BRING:

• General knowledge of coverages and services regarding Employee Benefits
• Intermediate knowledge Microsoft Office programs to include Windows, Outlook, Word, PowerPoint, and Excel
• Strong attention to detail and time management
• Strong ability to multi-task and prioritize
• Ability to work effectively both independently and collaboratively in a team environment
• Good interpersonal communication skills
• High school diploma or equivalent required; additional education or relevant experience preferred
• Prefer two or more years’ experience with a benefits consulting or brokerage firm or comparable experience with an insurance carrier or TPA
• Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
• Must have a high level of interpersonal skills to handle sensitive and confidential situations
• Washington Life, Disability (health), Travel license, preferred or willing to obtain within 60 days of hire date

COMPENSATION:

The hourly pay range for this position is $35.89 - $38.47 per hour and standard workweeks are 37.5 hours. This range represents the employer's good faith estimate of the compensation for this role at the time of posting. Actual compensation will be determined based on factors such as experience, skills, training, certifications, education, internal equity, and market data. This role may also be eligible for bonuses and a comprehensive benefits package.
